When your constituents request it, prepare and pack up the data you’ve received from them to work toward complying with various data protection and privacy regulations.

Required Editions

Available in: Performance, Enterprise, Unlimited Editions, and Developer

Some laws and legally binding documents require you and your institution to let constituents take their data with them. We’ve listed a few of the obligations that are important to many institutions collecting and processing their constituents’ data.

  • General Data Protection Regulation (GDPR), European Union
  • Family Educational Rights and Privacy Act (FERPA), United States
  • Contracts

If you have constituents or users who want to take the data that you’ve received from them, review these common requests. We’ve provided links to the procedures related to those requests.

Common Customer Request Actions to Consider Things to Consider
A student is moving out of the country and won’t be attending your university anymore. The student wants to take their information with them.

Export data

Create a report

Personal data can exist in many different records and fields.

Consider exporting these records and fields for the student:

  • Person Account
  • Contact
  • Lead

Find any personally identifiable information (PII) in unindexed, free-text fields.

To search for PII in unindexed fields, export the data, and then search for the student’s information.

Also consider exporting these records:

  • Case
  • Files
  • Notes
  • Identity Document
  • Individual
  • Individual Application
  • Constituent Role
  • Contact Profile
  • Person Education
  • Person Employment
  • Person Disability
  • Person Language
  • Where the student has access to a community portal, export their user activity.

If the student no longer wants you to keep the personal data you’ve collected, you can delete it. See Delete Records.

Be aware deleting certain student records could create conflicts with legal requirements around data retention. If so, consider anonymizing the records but weigh all the options with a legal advisor.
