Set Up SSH to Sync with Work Calendars

Use Einstein Activity Capture with Student Success Hub (SSH) to keep your Microsoft or Google calendar in sync with Salesforce.

How is Calendar Data Synced?

How data syncs between Salesforce and calendars depends on what changes are made and where they’re made.

  • Appointments made in Salesforce sync to the connected Microsoft® calendar or Google Calendar™. Appointments made in Microsoft or Google calendars don’t sync to the Salesforce calendar.

  • Updates to existing appointments sync in both directions regardless of which calendar the update was made in.

  • Deleted appointments are removed from both calendars regardless of which calendar the appointment was deleted from.

  • Einstein Activity Capture can sync Availability with Microsoft Exchange® accounts, but not with Google or Microsoft Outlook®. Availability created in SSH is a recurring event series. For more Availability sync options, try a third-party calendar sync solution that supports recurring events.

Set Up SSH to Sync Calendars

Before you can sync work calendars to SSH, you need to enable Einstein Activity Capture and a custom setting.

Enable Einstein Activity Capture

Einstein Activity Capture enables connection between Salesforce and your calendar applications. If this has been enabled previously, you can skip these steps.

  1. From Setup, in the Quick Find box, enter Einstein Activity Capture, then select Settings.

  2. Click Get Started.

  3. Read and accept the terms of service.

  4. Click Try Einstein.

  5. Choose your email and calendar service, then click Next.

  6. Enter a unique name for your configuration.

  7. Optionally, enter a description of your configuration, then click Next.

  8. Review your sync settings for emails, events, and contacts, then click Next.

  9. To remove deleted appointments from both synced calendars, instead of just from the calendar where the deletion occurred, choose Remove deleted events in the Events settings.

  10. Review the rest of the advanced settings for Emails, Events, and Contacts, then click Next.

  11. Choose the Users or Profiles that you want the configuration to apply to, then click Next.

  12. If you have email addresses or domains that you’d like to exclude from calendar syncs and the activity timeline of related Salesforce records, add them. For more information on excluding addresses, read Exclude Certain Emails and Events from Being Added to Salesforce.

  13. Click Next.

  14. Choose if you want users to share activities on the timeline of related Salesforce records, then click Next.

  15. Click Finish.
