Automate Alert Resolution and Creation

Use workflow automation to speed the resolution and creation of Alerts in Student Success Hub.

Student Success Hub includes some sample workflows for automating Alert resolution and creation processes. Explore them, learn about them, and use them for ideas to create automation for your school or institution. We recommend leaving the sample Alert processes deactivated. They aren't intended to be used in production, even in a modified form. Just keep them handy for reference as you define your own processes.

  • Automate the Alert Resolution Process
An Alert can have multiple paths to resolution. Student Success Hub provides some default Alert Status values. The Alert can have one of three Status values to indicate that it's open: New, Acknowledged: In Progress, or Acknowledged: Redirected. Or the Alert can have one of two Status values to indicate that it's closed: Closed: Action Taken or Closed: No Action Needed. You can customize these Status values.
  • Automate the Alert Creation Process
Student Success Hub includes a sample process that creates an academic Alert when a student's GPA drops below 2.0 (in higher ed orgs) or when a student's term grade falls below 75 (in K-12 orgs). K-12 orgs also include a sample Alert creation process for an unexcused absence and one for when a student is involved in a behavior incident.

Or the Alert can have one of two Status values to indicate that it's closed: Closed: Action Taken or Closed: No Action Needed. You can customize these Status values.

In addition, Alerts have an Is Closed field, which when selected indicates actual resolution. The Student Snapshot uses Is Closed to calculate a real-time count of unresolved Alerts—that is, Alerts with Is Closed unselected.

One way to resolve Alerts is by exposing the Is Closed field and having support staff select it when they change an Alert's Status to a closed value. Or, you can resolve Alerts automatically by setting the value of Is Closed based on the value in the Status field. Using Process Builder is a good way to automate Alert resolution when an Alert's Status is changed to a closed value.

Student Success Hub includes a preconfigured Alert resolution automation process in Process Builder. In K-12 orgs, it's even activated for you. Here's how to view and customize it.

  1. From Setup, search for and then select Process Builder.
  2. Click the arrow to expand Alert Resolution and then click Alert Resolution.
  3. Do any of the following.

    • Activate or deactivate the process.

    • View the process's properties.

    • Click a criteria or action to review it.

    • Clone the process.

If you originally installed an early version of Student Success Hub that doesn't include the sample process, see Automate Alert Workflows for Earlier Versions for instructions on how to create it.

Automate the Alert Creation Process

Student Success Hub includes a sample process that creates an academic Alert when a student's GPA drops below 2.0 (in higher ed orgs) or when a student's term grade falls below 75 (in K-12 orgs). K-12 orgs also include a sample Alert creation process for an unexcused absence and one for when a student is involved in a behavior incident.

Again, these processes aren't intended for real-world use. Your institution likely has data and requirements that the sample processes don't consider. To see and explore the sample processes, from Setup, search for and then select Process Builder.

If you originally installed an early version of Student Success Hub that doesn't include a sample Alert creation process, see Automate Alert Workflows for Earlier Versions for instructions on how to create the sample academic Alert for when a student's GPA drops below 2.0.
