Additional Alert Setup for Earlier Versions

Complete these Alert setup tasks if you originally installed Student Success Hub 1.7 or earlier.

If you originally installed Student Success Hub 1.7 or earlier, or if you didn't install the Alert metadata that Student Success Hub provides, some extra configuration is required to set up Alerts.

  • Create and Configure Alert Record Types
Alert record types are required to determine the types of Alerts that support staff can create. Student Success Hub 1.8 and later come with a set of preconfigured Alert record types and picklist values for the Reason field; earlier versions don't. If you need to create your own record types and Reason values, here's how.
  • Add Alerts to the App Navigation Menu
For convenience, add Alerts to the app navigation menu.
  • Create a Lightning Record Page for Alerts
Give support staff a customized detail view of Alert records. Create an Alert record page in Lightning App Builder that includes the highlights panel, the student's related activity, a Chatter feed, and more.
  • Create a Compact Layout for the Alert Highlights Panel
Create a compact layout to show an Alert record's key details in the highlights panel of the Alert record page.
  • Configure the Alert Highlights Panel
The highlights panel appears at the top of a record detail page and shows the most important information about the item. Configure an Alert highlights panel that's based on the Student Success Hub Alerts Compact Layout you just created.
  • Enable Alert Feed Updates
The Chatter feed associated with an Alert shows posts and comments from the people involved. It also shows automated posts when details about the Alert have changed, such as the status or other fields of your choosing. Make these automated feed updates visible by enabling Chatter feed tracking for Alerts.
  • Configure Alerts Search Layouts
Add Alert fields to search layouts. We recommend configuring Lookup Dialogs, Search Filter Fields, Search Results, and Tab search layouts to start. Feel free to add fields to others that you use.

Create and Configure Alert Record Types

Alert record types are required to determine the types of Alerts that support staff can create. Student Success Hub 1.8 and later come with a set of preconfigured Alert record types and picklist values for the Reason field; earlier versions don't. If you need to create your own record types and Reason values, here's how.

First, do some planning.

  1. Decide the Alert record types you need.

  2. Decide the picklist values you need for the Reason field on the Alert object.

  3. Decide how to map the Reason values to the appropriate record types. To see how Student Success Hub maps the default record types and Reasons values, see Step 12 below.

  4. Create the Reason picklist values.

  5. Create the Alert record types. For each one, define the Picklists Available for Editing.

Then, configure your Alert record types. Here's how to create the Alert record types that come with Student Success Hub 1.8 and later.

  1. From Setup, in Object Manager, click Alert. Make sure it's the Alert object with the Student Success Hub namespace prefix (sfal__).
  2. On the Record Types page, click New.
  3. For the Existing Record Type, leave Master selected.
  4. For Record Type label, enter Financial Aid and then press Tab to automatically populate the Record Type Name field with the API name Financial_Aid.
  5. Enter a Description, which displays next to the record type name, to help support staff create the appropriate type of Alert.
  6. Make sure Active is selected.
  7. Enable profile assignments for the support staff, System Administrator, and other profiles as needed.
  8. Click Next.
  9. Unless you have other Alert page layouts, keep the default Alert Layout applied to all profiles.
  10. Save your changes.
  11. In the Picklists Available for Editing section, Edit the Reason picklist.
  12. Use this table to select the reasons that apply to Financial Aid alerts.

Create a Lightning Record Page for Alerts

Give support staff a customized detail view of Alert records. Create an Alert record page in Lightning App Builder that includes the highlights panel, the student's related activity, a Chatter feed, and more.

Let's start by creating the record page using a template. You can configure components on the page later, if desired.

  1. From Setup, search for and then select Lightning App Builder.
  2. Click New.
  3. Select Record Page and then click Next.
  4. Label your page Alert Record Page, select Alert, and then click Next.
  5. Choose the Header and Three Regions page template and then click Finish.

  6. Drag these components from the components pane into the specified region of the page.

    1. Top header—Highlights Panel component. Later, you'll configure the fields in it by creating an Alerts compact layout.

    2. Left column—Record Detail component followed by a Related List - Single component (with the related list set to show Open Activities) followed by another Related List - Single component (with the related list set to show Activity History).

    3. Middle column—Activities component.

    4. Right column—Chatter Feed component.

  7. Save your changes.
  8. Activate the Lightning record page.

    1. Click Activation.
    2. Go to the App Default tab and click Assign as App Default.
    3. Select the Student Success Hub app.
    4. Click Next.
    5. Review your assignments and save your changes.
  9. Exit Lightning App Builder.

The resulting Alert record page conveniently assembles the details of an Alert to help support staff see key information at a glance and take swift action.

Create a Compact Layout for the Alert Highlights Panel

Create a compact layout to show an Alert record's key details in the highlights panel of the Alert record page.

  1. From Setup, in Object Manager, click Alert.
  2. On the Compact Layouts page, click New.
  3. Label the compact layout Student Success Hub Alerts Compact Layout.
  4. Tab to the Name field to automatically populate the API name, Student_Success_Hub_Alerts_Compact_Layout.
  5. Add these fields to the Selected Fields list: Alert #, Reason, Student Contact, Owner, Status, Related To, Priority, Record Type, and Created By.
  6. Save your changes.

    Note
Note The highlights panel shows the first Selected Field in the panel header and the next six fields in the panel itself. Additional fields specified in the Compact Layout may not fit in the highlights panel.
  7. Make the Compact Layout the primary layout for the Alert object.

    1. On the Compact Layout Detail page, click Compact Layout Assignment.
    2. Click Edit Assignment.
    3. Set Primary Contact Layout to Student Success Hub Alerts Compact Layout.
    4. Save your changes.

By default, the compact layout assignment for a record type inherits from the primary compact layout.

Configure the Alert Highlights Panel

The highlights panel appears at the top of a record detail page and shows the most important information about the item. Configure an Alert highlights panel that's based on the Student Success Hub Alerts Compact Layout you just created.

  1. If you want the highlights panel to show the Record Type (which is important because the record type determines the reason for an Alert), add the Record Type field to the Compact Layout.

    1. In Setup, in Object Manager, click Alert.
    2. On the Compact Layouts page, click Student Success Hub Alerts Compact Layout.
    3. Click Edit.
    4. Add Record Type to the Selected Fields list.

    5. Save your changes.

      Note
Note The highlights panel shows the first Selected Field in the header and the next six fields in the panel itself. Additional fields specified in the Compact Layout may not fit in the highlights panel.

Enable Alert Feed Updates

The Chatter feed associated with an Alert shows posts and comments from the people involved. It also shows automated posts when details about the Alert have changed, such as the status or other fields of your choosing. Make these automated feed updates visible by enabling Chatter feed tracking for Alerts.

  1. From Setup, search for and then select Feed Tracking.
  2. Click the Alert object, then select Enable Feed Tracking.
  3. Select the fields that automatically post feed updates when those fields are updated.

  4. Save your changes.
