A registrar can manually update the waitlist status of a course offering and add or remove students from a waitlist. Understand how manual actions affect the status of a waitlist and a student's position on it.

A registrar can take these manual actions to manage course waitlists.
- Change a Waitlist Status
- Changes to a waitlist's status don’t affect the enrollment offers that are already extended to students. As needs change, a registrar can update the status manually. For example, if a waitlist fills up quickly, you can change its status from Open to Processing Only to prevent more students from joining the waitlist.
- Add Students to a Waitlist
- A registrar can add a student by creating or updating a course offering participant record with a participation status of Waitlisted. When you add a student, populate any course offering participant fields that you’ve configured on the Configure Course Waitlists setup page so that the student’s position on the waitlist can be accurately calculated.
- Remove Students from a Waitlist
- A registrar can remove a student by deleting the corresponding course offering participant record or changing the record’s participation status to Removed from Waitlist. Because this manual action doesn’t notify the student, we recommend that you configure a flow or other automation that notifies a student when you remove them from a waitlist.
- Enroll a Student from the Waitlist
- A registrar can enroll a student from a waitlist by changing the student’s course offering participant participation status to Eligible to Enroll from Waitlist. If this course has active enrollment offers to students, increase the course’s enrollment capacity when you manually update a student’s participation status. Alternatively, configure a screen flow to increase the enrollment capacity of a course offering and immediately enroll the student.
- Reorder the Waitlist
- The Course Offering Participant object doesn’t contain a field that determines a student’s position on a waitlist. The Student Information: Generate Enrollment Offers for Waitlisted Courses flow calculates this value dynamically. To increase or decrease a student’s position, change the fields on a course offering participant record, such as Waitlist Score or Added to Waitlist. However, we don’t recommend that you reorder students’ positions on a waitlist manually.
