Holds and Blocks

Holds and Blocks enforce academic policies on the student body. Registrars can place holds on students who don’t meet specific criteria or requirements to block them from the administrative or academic processes. Students can manage and resolve holds in the Action Center to make sure that they comply with institution-specific policies.

Here's a scenario. Your institution has an enrollment eligibility policy that requires students to meet certain minimum academic requirements. One of the minimum requirements is a minimum cumulative grade-point average (GPA) of 2.0 for all coursework completed at the university.

To enforce this policy, the registrar defines an academic hold that represents all relevant rules and requirements. They then place this hold on students who don’t have the minimum GPA. A student with this hold can’t register for courses. They also receive a task assignment in the Action Center. This task requires the student to meet with their advisor and develop a personalized remedial strategy. After the student completes the task, their advisor clears the hold, and the student can enroll in courses for the next term.

Students view all current and past holds placed on them in a dedicated section in their Action Center on the Education Cloud site. A student with holds needs to clear the restrictions before they can proceed with actions such as registering for courses, applying for financial aid, or borrowing books from the library.

To enforce your institutional policies with Holds and Blocks, first prepare your data. Then use a guided setup to define holds. Finally, create records to place holds and prompt students to resolve the holds.

Education Cloud provides invocable actions to help you build flows that implement policy rules and enforce holds on a group of students. Registrars can create these policy rules based on expression sets in Business Rules Engine. These rules evaluate students’ compliance with institutional policies and then use invocable actions to place holds on those who fail to meet them. Registrars can also manually place a hold on individual students under specific circumstances, such as a pending financial-aid decision or transcript from an international institution.

  • Holds and Blocks Framework
Regulatory authority, regulation and regulation clause, hold definition, and hold violation objects provide the framework for defining, placing, and resolving student holds. Compliance control objects support rule-based hold creation and assignment at scale.
  • Prepare the Data for Holds
Create records that populate the reasons, restrictions, and resolutions of your holds.
  • Define Holds
Create a regulatory code record to define a hold. The guided setup for hold definitions ties the authorities, regulation clauses, and action plan templates into one hold definition.
  • Automate Hold Placement on Students
Build an automation flow by using invocable actions. Run the flow to run expression sets that evaluate students for hold violations and assign holds to a group of students.
  • Place Holds on Students Manually
Identify the students who are in violation of a regulation clause and create a case for each student. Then create a regulatory code violation record that corresponds to the hold and assign it to each student.
  • Resolve Holds on Students
Manage and resolve holds in each student's case.
  • Make Hold Details Available to Experience Cloud Users
Assign the right permissions to students and add hold details to your Experience Cloud site for students to resolve their holds.
