Eligibility Verification and Assignment for Registration Timelines

Education Cloud uses the student information system policy rules framework to verify which students enrolled in an academic term qualify for a registration timeline. After verification, the same framework assigns that timeline to the students who qualify. Verification and assignment are two related phases.

Policy rules evaluate students enrolled in an academic term and assign each eligible student a registration timeline. Eligibility comes from the policy rule that you attach to an academic term registration timeline record.

In the verification phase, a policy rule evaluates each student who's enrolled in the academic term. The rule uses the eligibility criteria on an academic term registration timeline record. The evaluation runs as a batch process from the Student Eligibility and Timeline Assignment component on that record. After the batch process completes, the component shows the eligibility results. In the assignment phase, a second batch process assigns the registration timeline to the students who met the criteria. Assignment starts from the same component after the eligibility batch process completes.

Both phases run from the Academic Term Registration Timelines app. On the timeline record, the Student Eligibility and Timeline Assignment component is where you select the policy rule, apply verification, and then assign the registration timeline.

Set Up Eligibility Verification and Assignment for Registration Timelines

Configure a context definition, policy rule, and flows to verify eligibility and assign registration timelines for students.

Before you start:

  1. Customize and activate the context definition, EduAcadTermEnrlLrnrPrfl.
  2. Create a policy rule customized to your requirements with these details:
    Field Value
    Usage Type Student Information System
    Usage Subtype Registration Timeline
    Context Definition (As created in the previous step)
    Use the sample expression set template available with Education Cloud, RegistrationTimelineES, to create a policy rule.
  3. Create an academic term registration timeline record. For Eligibility Criteria, select the policy rule created in the previous step.
  4. Customize and activate the flows:
    • EDU Student Information: Calculate Registration Timeline Eligibility
    • EDU Student Information: Run Registration Timeline Calculation Batch Job
    • EDU Student Information: Apply Registration Timeline Eligibility
    • EDU Student Information: Run Registration Timeline Application Batch Job
    Flow templates must be cloned to create the corresponding flows.

Run Eligibility Verification and Assignment for Registration Timelines

Initiate the rule-based process to verify eligibility and assign registration timelines for students enrolled in an academic term.

Before you start:

  1. From App Launcher, find and select Academic Term Registration Timelines.
  2. Select the academic term registration timeline record for which you want to run the eligibility check.
  3. On the Student Eligibility and Timeline Assignment component, select the policy rule, and then click Apply.
  4. After the batch process completes, click Assign Registration Timeline.
