Your institution has taken the leap and you have approval to implement Accounting Subledger. It can seem like a daunting task, but it doesn’t have to be! Here are the general considerations to think about:

  1. Add users: Decide who in your company or institution accesses, uses, and administers Accounting Subledger. See Add Accounting Subledger Users.
  2. Set up Data Pipelines: Assign at least one active user to the Data Pipelines Base User permission set and enable Data Pipelines. See Set Up Data Pipelines for Accounting Subledger.
  3. Set up permissions: Specify who can do what. For example, enable your accountants to view the generated accounting data, but not map the financial data in accounting sets. Assign Accounting Subledger Permission Sets.
  4. Create custom fields: To generate accounting data beyond the default fields on the Transaction Journal object, add custom fields to that object. See Create Custom Fields.
  5. Configure Accounting Subledger: Map your financial data to the Accounting Subledger data model through accounting sets. Also configure page layouts and specify how Salesforce generates and splits the accounting data. If you added custom fields on the Transaction Journal object, set up accounting field mappings to copy your data to those fields. We recommend that you consult your accounting and finance teams to capture all their needs. See Transaction Journal Records in Accounting Subledger and Accounting Sets.
  6. Turn on accounting data generation: Test your configuration in a sandbox first. When everything looks good, enable transaction journal creation and schedule the Accounting Subledger job. See Accounting Subledger Jobs.
  7. Consolidate data: After Salesforce generates the accounting data, bring it into your accounting system. Create a report with this data and export as CSV files, which you then import into your accounting system. You can also develop a custom integration, or use a middleware solution. Accounting Subledger doesn’t perform automatic posting because of legal implications. See Ways to Transfer Your Accounting Data.
