When eligible source records change substantially from an accounting standpoint, the Accounting Subledger job generates transaction journal records accordingly to match the updated value on the source record. For example, Salesforce considers these changes when the job runs.
- A change from unpaid to paid
- A change to the amount of a finalized payment
- A change to the fund allocation
- A change to the payment method, if you turn on the setting
Specify your own schedule for running the Accounting Subledger job in Flow Builder, or run it manually.
Filter Source Data to Process
Use these criteria to select the source data to process in Accounting Subledger jobs.
- Accounting Record Start Date
- If you specify an Accounting Record Start Date, Salesforce only generates transaction journal records for source data whose primary object's created date is on or after that date.
- Criteria Settings
- If you configure filtering criteria on accounting sets, Accounting Subledger jobs apply the criteria on the primary object and process the matching records.
- Accounting Data Record Type Filter
- If you specify an Accounting Data Record Type Filter, Salesforce only generates transaction journal records for source data whose record type matches that filter.
If you don't configure criteria settings or record type filters, Accounting Subledger processes all records created on or after the accounting record start date. For example, if the accounting set's primary object is Opportunity, Accounting Subledger evaluates the Created Date of all opportunities.
Potential Data Usage Impact When the Job First Runs
When you run Accounting Subledger for the first time, we consider all eligible source records.
Accounting Subledger generates accounting data for all eligible source records. When you run the Accounting Subledger job for the first time, Salesforce creates transaction journal records for source records that don't have them. This record creation potentially increases data use significantly, such as if you import or create source records before that first run. See Source Records Eligibility.
Errors Logged from Accounting Subledger Jobs
If the Accounting Subledger job finds a discrepancy that it can't correct on its own, it logs failed records in Batch Management. See Monitor Your Data Processing Engine Definition Runs.
Sometimes the Data Processing Engine reports a successful job run status even though it didn't generate all of the expected accounting data. In this case, refer to the email that you receive for details about the run.
