Assign the Admissions Connect Permission Sets

Admissions Connect provides permission sets to help you manage access to objects, fields, and the app. Permission sets are additive—they only grant access, they can’t take it away. You can assign multiple permission sets as needed, and it doesn't matter what profile a user has. Keep in mind that Users can have only one profile, but they can have multiple permission sets.

  • Learn About the Different Permission Sets
To use Admissions Connect, each user must be granted these permission sets.
  • Assign a Permission Set
Assign the Admissions Connect - Access permission set first. This permission set assigns the Admissions Connect permission set license, which is required to assign the other Admissions Connect permission sets.
  • Permission Set Considerations
Users with a Salesforce Platform license must also be assigned the Lightning Console permission set license to access Admissions Connect.

Important
Important Some of the Admissions Connect permission sets are managed, others are not. You receive updates to the managed permission sets automatically when the package is updated in your org. However, unmanaged Admissions Connect permission sets aren't updated automatically. You can clone the unmanaged permission sets, use them as-is, or customize them for your institution. Then use the information in Admissions Connect Permission Set Details to keep them up-to-date. Also note that managed permission sets can't be deleted, unless we delete them from the package first.

You can't give Users with a Salesforce Platform license access to the Document Checklist Item object. These Users can see documents in the Admissions Connect components, but can't access the Document Checklist Item record detail pages. For details about which Admissions Connect permission sets include object permission for Document Checklist Items, see Admissions Connect Permission Set Details. If your admissions staff are using Salesforce licenses instead, consider updating your permission sets to include Read access to the Document Checklist Item object.

In order for Users to see data in the Admissions Connect components, give them the necessary permissions to all the fields and objects used to show data. For example, to show data from an applicant's Education History records, give your staff Read permission on the Education History object and on the fields in the field set specified by the matching Application Material Type record. Likewise, to show that same data to applicants in a portal, they also need Read (and potentially Edit) permission on the Education History object and fields, too.

We recommend that only the Admissions Connect administrator or administrative staff have Edit access to these fields:

  • Application JSON field on Applications—This field might contain PII (personally identifiable information).

  • Due Date on Application Reviews—This field is typically defined by administrative staff only.
