Asset Status Mapping

Gain granular visibility into hardware inventory with status-driven quantity tracking. Map dynamic asset statuses to specific product item quantity fields. Inventory counts automatically reflect real-world lifecycle changes. This tracking isolates standard from high-priority inventory allocations. It prevents double-booking devices across locations and automates compliance audits.

Strategic Value of Asset Status Mapping

Accurate inventory tracking directly affects workforce productivity and compliance. A status-driven framework provides clear operational advantages.

  • Eliminate Visibility Gaps: View real-time availability across stockrooms. Prevent double-booking devices and avoid unnecessary procurement when deployable assets exist elsewhere.
  • Protect Local Deployment Allocations: Isolate standard inventory from high-priority allocations, such as executive reserves or new-hire onboarding.
  • Automated Financial and Audit Ledgers: Every status transition automatically updates aggregate product item metrics. The system writes double-entry ledger entries to preserve transaction history.

Status-Driven Quantity and Category Mappings

An asset's dynamic status drives the quantity fields on the related product item record. When an asset's state changes, the system decrements the quantity field for the old status. It simultaneously increments the field for the new status.

Status Category Mapping

Every custom or standard asset status maps to a static Asset Status Category. Examples include In Stock, In Use, In Transit, Retired, or Missing. This category standardizes system behavior and automated workflows regardless of customized picklist names.

Single Status to Multiple Fields

A single asset status value maps to one or more quantity fields simultaneously.

  • Reserved: Updates Quantity On Hand and Quantity Allocated.
  • Defective: Updates Quantity Damaged and Quantity On Hand.
  • On Hold or Pending Disposal: Updates Quantity On Hand and Quantity On Hold to isolate records from active deployment.

Route Dynamic Values Through Predefined Status Categories

Customize the dynamic asset status picklist to fit specific operational workflows while maintaining platform stability.

  • Predictable Reliability: Status categories act as predefined classifications with a strict one-to-one mapping to quantity fields on the Product Item record.
  • Customization: Map new operational sub-statuses to an existing static category. For example, map a custom status like "Available - Refurbished" to the predefined In Stock category.
  • Data Integrity: Background sync processes read the fixed category to control inventory rollups. This ensures custom picklist values don’t disrupt inventory logic.

Requirements for Mapping Activation

Before asset status-mapping rules take effect and calculate inventory rollups, confirm the following configuration settings.

  • Location Settings: On the Location record, select Inventory Location. Set Usage Type (Serialized Inventory Tracking Method) to Asset-based.
  • Product Settings: Select Product Serialized on the associated product record.
  • Active Mappings: Configure and save the corresponding mapping rows under the Status Category and Inventory Quantity tabs in the Asset Status Mapping Setup console.

Asset Search Mapping

Control which assets appear in lookup windows during operational workflows. Map filter contexts to specific standard asset statuses in the Asset Search tab.

  • Fulfillment Order Search: Pre-filters assets in the Available state.
  • Return Order Search: Pre-filters assets in the Assigned state.
  • Product Transfer Search: Pre-filters assets in the Available state.
  • Disposal Order Search: Pre-filters assets in the Retired state.
  • Certificate of Disposal Search: Pre-filters assets in the Pending Disposal Certificate state.
