Document and Document Templates in Salesforce Spiff

Create and manage incentive compensation documents such as sales contracts in Salesforce Spiff from a central location. Avoid repetitive effort with document templates, where you can import content from external sources, upload merge fields, or use dynamic merge fields to pull live Spiff data directly into templates. Manage required paper trails by circulating documents through an approval process.

Relevant Terms

Document
The artifact that you send to others for approval.
Template
The source of the document that you send. Templates can include merge fields from an uploaded file or dynamic merge fields drawn directly from live Spiff data or connected data sources.

Merge Field Types

You can add two types of merge fields to a document template to personalize content for each recipient.

Uploaded merge fields
Download a template spreadsheet, add field names and per-user values, and upload the file on the Merge Fields tab. These fields reflect the data in the uploaded file at the time of upload.
Dynamic merge fields
Select a field from the Merge Fields panel in the Document Designer. Dynamic fields pull live values from Spiff when the document is previewed or sent for approval. Available field sources include built-in Spiff user data (such as email, team names, plan assignment names, and quotas) and any external fields that are synced and normalized to a user record in Spiff.

Document and Template Management

The Documents tab shows all your active templates and provides these options.

  • Send a document for approval.
  • Download documents as .pdf files. The Download Documents as PDF button on the Documents tab exports up to 100 .pdf files compressed in a .zip file.
  • Duplicate a template. You can’t edit a published template, so duplicate it instead. If a template is archived, duplicating the template creates another archived template.
  • Delete an unapproved template. If a document is fully approved (status is Completed), you can only archive it. Deleting a template doesn’t affect any document listed in the Approval Requests tab already sent for approval, but the template isn’t available to send for another approval. Deleting a template is permanent.
  • Archive a template, which makes the template unavailable for all users who can view documents created from the template. This option is available for users with one of these privileges.
    • The Company Admin default role
    • The Finance default role
    • A custom role with the Documents: Manage permission turned on
  • Document Approval in Salesforce Spiff
Team leads and sales reps review and approve documents sent by an administrator from the Approval Requests page.
  • Create a Personalized Document for Approval in Salesforce Spiff
Personalize documents and send them for approval. For example, include quotas, on-target earnings, dates, names, and IDs when you specify merge fields that contain unique values.
  • Add Dynamic Merge Fields to a Document Template
Insert live Spiff data into your compensation plan document templates. Dynamic merge fields pull values directly from Spiff—such as a rep's team name, plan assignments, or quotas—or to data synced in from external systems like Salesforce or Workday. Spiff quota tables and fields that are mapped to the user object are available as dynamic merge fields. Spiff populates these fields when you send or preview a document.
