Manage Legal Hold Requests in Archive

Place archived records on legal hold by creating a legal hold request in the Archive managed package. Records can be placed on hold multiple times. For example, if a company is facing litigation, any archived records mentioning the involved individual can be placed on legal hold.

Note
Note This content relates to Archive. For Salesforce Archive, see Store Data Externally with Salesforce Archive.

Once records are under legal hold, they can't be unarchived, deleted, or removed—whether accessed through the RTBF SDK or the user interface.

  1. Go to the Archive Search tab.

The Archive Search page is displayed.

  2. Search the Archive base for any ID, text string: word, term, name, etc, for the individual whose records you wish to put on hold, or select the desired Object and Field from the dropdown list.
  3. If necessary, click Add Date Range to select a date range to narrow your record search.
  4. Press Enter or click the search icon.

    The results are displayed.

Click the down arrow to view, export, or unarchive the record.

    Note
Note Records under legal hold are marked with a lock icon. Hovering over the lock reveals the number of hold requests associated with the record.
  5. At the top-right of Archive Search, click the Settings icon to open the dropdown menu, and select Perform Legal Hold.
    Note
Note If the option to select Perform Legal Hold is unavailable, please get in touch with your System Administrator to grant you the necessary permissions.
    Note
Note The total number of held records may be higher, as Own also archives related child records.

The Hold Records in Archive window displays the number of root records that are held.

  6. Enter an Operation Name.
  7. Enter a Description for the record.
  8. Click Hold.

    A success message appears.
