Considerations for Completion Actions

Before you configure standard or conditional completion actions, review their processing behavior, limits, and throttling periods.

When Completion Actions Run

Completion actions execute only for prospects and don’t affect visitors. They run without a defined order. Once the actions are added, they apply only to future activities.

Sometimes a prospect can match multiple conditional actions. When actions conflict, the first one processed is applied to the prospect. To build a sequential prospect experience, use an Engagement Studio program.

Completion actions can add processing time to form submissions. Depending on the type and number of actions, a form can take extra time to submit.

If an Account Engagement user is deleted, the system skips the Assign to User and Notify User actions associated with that user.

What Triggers Completion Actions

Emails have three trigger options: when a prospect opens an email, clicks a link in an email, or unsubscribes via an email. Conditional completion actions aren’t available for classic emails or on link-click triggers for enhanced emails.

Most completion actions run every time they’re triggered with these exceptions:

  • Completion actions based on email link clicks run once per prospect per link.
  • Completion actions based on email opens run once per prospect on the first email open.

Image file downloads, filtered activities, unsubscribe link clicks, and email preference page clicks don’t trigger completion actions.

How Many Completion Actions You Can Add

To prevent conflicts, you can’t add both a standard action and a conditional action to assign a prospect. Instead, for each conditional group, you can add one action that assigns a prospect.

For each asset, you can have 15 total standard or conditional completion actions and 6 conditional groups. These limits don’t apply to classic emails.

Example
Example A single form can have 15 individual completion actions, or 5 conditional groups—each containing 3 individual completion actions. Alternatively, the form can have 3 individual completion actions and 4 conditional groups—each containing 3 individual completion actions.

Enhanced emails can have 15 completion actions for open and unsubscribe triggers, and 5 completion actions for link click triggers. These limits don’t apply to classic emails.

If you used completion actions in Spring ’22 and earlier, you can have assets that exceed 15 total actions. Any actions over the limit remain, and you can still edit them. To add more actions or conditional groups, delete actions until you have less than 15 actions.

How Often Completion Actions Can Run

Sometimes prospects click a trigger button or link multiple times. To prevent issues with your automations and prospect data, the system limits how often certain actions can run.

  • On file downloads and custom redirects, the Adjust Score action has a 24-hour throttling period.
  • If you set an Adjust Score completion action to be triggered by an email open, it can trigger on the first open. This functionality depends on your Email Open Scoring Rules.
  • The Send Autoresponder Email action has a 4-hour throttling period on most assets. On forms, there’s no throttling period and the prospect receives the email each time the form is submitted. On form handlers, there’s no throttling period if Disable Visitor Activity Throttling is enabled. The prospect receives the email each time the form is submitted.
