How Compliance Reviews Work in Marketing Planning and Operations

A compliance review applies to marketing work in one of two ways. Someone requests a review for a specific piece of work, or a company requires a control across a whole category of work. Either way, the owner sends the review requests, and each review goes to a reviewer, who checks the work and notes whether it passes. Each record then rolls up its reviews into one overall compliance status.

Start a Compliance Review

A compliance review starts in two ways:

Method Use Case Example
Requested To set up a review on a specific campaign, program, or tactic, someone adds the control that applies. A marketing manager adds a brand compliance review to one promotional campaign that uses new creative.
Mandatory A company requires a control across a whole category of work. Each record that fits the rule gets the review on its own, without anyone adding it. Every new go-to-market program in a region gets a data usage policy review on it.

Route Reviews to Records and Reviewers

A mandatory control applies to a defined set of marketing work, from a broad category to a specific part of the marketing hierarchy. For example, one control can apply to every go-to-market program in a region, although another applies only to the campaigns within a single initiative.

Each review also goes to a reviewer. A requested review goes to the reviewer whom the requestor selects, and a mandatory control carries a default reviewer.

Send and Manage Reviews

The owner of a record sends its review requests, for both the mandatory controls and any requested reviews. When the owner sends the requests, each reviewer gets an in-app notification and an email for their reviews. For requests that go to a user group, every group member gets a notification.

A reviewer evaluates the record against the control and sets a result, along with a reason: completed, failed, or waived. A review can go through more than one round, so a record returns for another review after a failed or waived result.

A single piece of marketing work can have up to 200 reviews, and each review can have up to 25 rounds.

Roll up Compliance Status

Each record rolls its reviews up into one overall compliance status: not started, compliant, or not compliant.

A record stays as Not Started while any review is still open. It moves to Compliant after every review is complete and passes. It moves to Not Compliant after all reviews are complete and one or more didn't pass.
