Customer Information Capture
Once enabled, store associates can capture the customer information. This information will be associated with the order and then be used in the invoices.
Printing Invoice Documents
Once customers have submitted the order, the corresponding layout will be shown in POS app. There, store associates can select the Invoice button and print out the document.
Reprints
Customers can also ask for an invoice at a later time after order submission. Store associates can give these by going to Order History, and then selecting the order for which they want to submit an invoice document. After tapping on "Receipt Options", associates will be taken to the Order Confirmation layout, where the "Print Invoice" button configured in CMS will be shown.
Changing Customer Information
It is also possible to change the customer information captured for an order. To do so, navigate to Order History, and then search for the desired order. See Capturing Customer Information for Sales for more details.
Document Structure
Invoice documents will look very much alike regular receipts. The differences are
- Invoice documents will show the text in the setting Invoice Metadata Text instead of Metadata Text in the receipt configuration
- The header of the paper will be "INVOICE" instead of "SALE" or "RETURN"
Offline
POS app allows for printing invoice documents during offline transactions as well. When completing an offline order, the flow is the same as if it was an online transaction. The Order Confirmation layout will be shown, where the "Print Invoice" button may be used.
Invoice Metadata
Depending on the country's requirements for an invoice document, you can set up the invoice metadata setting to show the values as needed. Some of the common PS tags needed for invoices are:
- Invoice number - :ps_receipt_id
- Invoice date - :ps_current_timestamp
- Customer name - :ps_first_name and :ps_last_name
- Order email address - :ps_order_email_address
- Customer address - :ps_profile_addressline1, :ps_profile_addressline2, and :ps_profile_addressline3
- Customer TAX ID - :ps_customer_tax_id
These tags resolve the customer information captured against the sale, including guest
customer information attached to the transaction. The tags don't require a pre-existing or
persisted customer profile to resolve, even though they use the historical
:ps_profile_* prefix.
:ps_person_id, :ps_customer_addressline1,
:ps_customer_addressline2, and :ps_customer_addressline3
aren't supported tags. Unsupported or unrecognized receipt tags print literally on the
invoice instead of resolving to a value.
To capture the address and tax ID that these tags require, add the corresponding fields to your Customer Information Capture layout. See Capturing Customer Information for Sales in Point of Sale.
Hard code values that don’t need real-time substitution into the Invoice Metadata text. Examples of substition are the legal entity name, or the company's tax identification.
