User Permissions Needed
To share and grant access: Tableau Unmetered Platform Analyst or Tableau Next Platform Analyst permission set, Data Cloud Data Aware Specialist permission set

Asset owners can share assets. If you don’t see the share option for an asset, you can't share it. Sharing doesn’t override permissions set by your admin. If users don’t have access to Tableau Next, you can’t share with them. If users don't have the permission set required to edit assets in Tableau Next, they can't edit an asset, even if you grant them editor access.

For dashboards, visualizations, and semantic models, you can grant viewer access, and for workspaces, you can grant viewer or editor access. Sharing a workspace automatically grants users access to the assets in that workspace if you have permission to share those assets. The role that you grant for a workspace is inherited by the dashboards, visualizations, and semantic models that are members of that workspace.

For semantic models, object-level permissions provide an additional means of access. Users with Modify All Records object permissions can share a semantic model, even if they aren’t the owner. Users with View All Records object permissions can view a semantic model, even if it hasn’t been shared with them in Tableau Next.

Share with individual users or analytics groups

  1. On a workspace, dashboard, visualization, or semantic model, click Share.
  2. On the Manage Access tab, enter the name of the user or group you want to share with, then select it.
  3. For users, select the Viewer, Editor, or Owner role. For groups, select the Viewer or Editor role.
  4. Click Add.
  5. Click Done to close the share options.

Access to a semantic model requires access to the data space that the model belongs to and access to all of the objects and fields used by the semantic model. For more information about adding users to a data space, see Assign a Data Space Permission Set to a Data 360 User.

Sharing a workspace, dashboard, visualization, or semantic model doesn’t share the data model objects and data lake objects that those assets depend on for their data. For information about access to data model objects and data lake objects, see Data 360 Governance in Tableau Next.

Set general access for all users

General access is the default access to an asset for all users in an org. When you create an asset, general access is restricted. Only users or groups who you share with individually can access restricted assets. If you set the general access for an asset to viewer, you can still grant individual users or groups editor access. If you grant a user or group viewer access and set the general access to editor, then that user or group has editor access because the higher level of access takes precedence.

  1. On a workspace, dashboard, visualization, or semantic model click Share.
  2. On the Manage Access tab, for General Access, select the role for all users in the org. For workspaces, select the Viewer or Editor role for the user. Only the Viewer role is available for other asset types.
  3. Click Done to close the share options.
