# Learn How a Group’s Point Balances Are Managed

Loyalty Management automates the process that manages group balances. Here’s a summary of how you can use Loyalty Management to manage a group’s point balances.

Members can transfer only non-qualifying points to a group because a group isn’t assigned a tier. A group’s point balances update when the nonqualifying point balances of any group member changes. A group’s point balances update in these scenarios:

- Points are credited to members for Accrual type transactions.
- Points are manually adjusted for a transaction for which points have already been transferred to the group.
- Points are manually adjusted for a member who is part of one or more groups.
- Transactions for which points have already been transferred to the group are reversed.

Let's take a detailed look at how a group's point balances update for each scenario:

## How Are Points Credited to a Member's Groups for an Accrual Transaction?

The [Transfer Member Points to Group action](https://help.salesforce.com/s/articleView?id=xcloud.loyalty_member_group_action.htm&release=264.0.0&type=5 "If the Transfer Points to Member Group Automatically setting is turned on, the points are transferred automatically. If the setting is turned off, use the Transfer Member Points to Groups action to transfer members' redeemable points to their associated groups.") in Flows automates the process of transferring a member's contribution towards their groups. The action takes Accrual type Transaction Journal records with Processed status as input. After receiving the Transaction Journal ID as input, the action transfers points to the groups of the member associated with the transaction journal. The action debits points from the member’s nonqualifying point balances, and credits the points to the member’s groups. The number of points transferred depends on the member’s contribution percentage for each group.

To transfer the points, the action creates these records:

        <colgroup>
          <col style="width:33.33333333333333%">

<p>A ledger record credits points to a group’s nonqualifying currency balance. The number
of ledger records created depends on the number of groups the member is part of, and the
number of nonqualifying currencies for which points get transferred. If a member is a part
of two groups, and the member is credited points for two nonqualifying currencies through
one Transaction Journal record, four ledger records are created when points are transferred
                to the groups.</p>

<p style="margin-bottom:0;">When a member is credited points of the same currency
multiple times for a transaction, the member's contribution is consolidated in a single
ledger and credited to the group. For example, members can be credited points for a second
time if they’re eligible for a promotion due to the transaction.</p>

          </tr>

## What Happens to a Group's Points Balances When Points Are Adjusted for a Transaction?

A group's point balances automatically adjust when points are adjusted for a Transaction Journal record, from which points have already been transferred to a group. For each group impacted by a transaction journal's points adjustment, a new Manual Points Adjustment type Transaction Journal record is created. Each transaction journal contains an associated Loyalty Ledger record. The ledger record adjusts the points for the group's currency that's impacted by the adjustment, based on the adjustment type and the member's contribution percentage.

## What Happens to the Group's Points Balances When Points Are Adjusted for a Member?

If the member is associated with a group, points are automatically adjusted for the group. For each group impacted by a member's points adjustment, a new Manual Points Adjustment type Transaction Journal record is created. Each transaction journal contains an associated Loyalty Ledger record. The ledger record adjusts the points for the group's currency that's impacted by the adjustment, based on the adjustment type and the member's contribution percentage.

## What Happens to the Group's Points Balances When a Transaction Is Reversed?

A group's point balances automatically adjust when a Transaction Journal record, from which points have been transferred to a group, is reversed. For each group impacted by the reversal, a new Manual Points Adjustment type Transaction Journal record is created. Each transaction journal contains an associated Loyalty Ledger record. The ledger record debits the exact points that were credited to the group for the now-reversed transaction journal.

Example

A member is part of a loyalty program that contains two nonqualifying currencies: Regular Points and Exclusive Points. The member is part of two groups, and contributes 10% to one group and 25% to the other group. As per the rules of the program, members are credited 2 Regular Points and 1 Exclusive Point for each dollar spent. So, when a member makes a purchase of $100, 200 Regular Points and 100 Exclusive Points are credited to the member. At this stage in a transaction’s lifecycle, the Transfer Points to Groups action transfers points to both groups. Here are the number of points transferred to the member’s groups:

| Group | Point Type | Points Credited |
| --- | --- | --- |
| Group 1 | Regular Points | 20 (10% of the Regular Points credited to the member) |
| Group 1 | Exclusive Points | 10 (10% of the Exclusive Points credited to the member) |
| Group 2 | Regular Points | 50 (25% of the Regular Points credited to the member) |
| Group 2 | Exclusive Points | 25 (25% of the Exclusive Points credited to the member) |

After the points are transferred to the group, the member raises a case to report a damaged product. 100 Regular Points are manually credited to the member for receiving a damaged product. Out of the 100 points, 10 points are automatically credited to Group 1, and 25 points are credited to Group 2.

## How are Points Adjusted When a Group Member Has a Negative Balance?

Members with a negative balance must settle the negative balance before they contribute to their groups. After they settle the negative points, the remaining balance is transferred to the member's groups. The balance is then split between the groups according to the member’s contribution percentage.

![Example](https://sf-zdocs-cdn-prod.zoominsoftware.com/tdta-xcloud-loyalty_management-264-0-0-production-enus/0590ce3e-5a09-45ab-8e5e-68f359c35886/images/icon_example.png)

Example

A loyalty program member belongs to two member groups, with a 10% contribution in each group. Their current balance is -1000, and they accrue 500 points. Because the accrual is insufficient to offset the entire negative balance, there’s no contribution to the groups for this transaction. The member’s balance is updated to -500.

The member soon makes a second transaction and accrues 1000 points. After the settlement of the negative balance, the member has 500 points remaining. Out of the 500 points, 400 points are credited to the member’s points balance, and 50 points each are transferred to the member’s two groups.

## How are Points Adjusted When the Group Has a Negative Balance?

Similar to members, a member group can also have a negative balance. The group assumes the same limit as the loyalty tier with the lowest negative threshold, irrespective of the group members’ tiers. When group members accrue points, the program first settles their negative balance and then transfers the remaining balance to the group based on member contribution.

## How are Points that Group Members Redeem Debited from the Group's Point Balance?

Members can redeem points from the point balance of groups that they’re a part of. Admins can set up a custom process that redeems points from groups based on the activities of the group's members.

To safeguard groups from fraudulent activities, your custom group points redemption process can check whether a member can redeem points from a group before the process redeems points from a group for a member activity. In a group, only members whose Loyalty Program Group Member Relationship record has the Member can redeem group points checkbox selected can redeem points from the group.

## How Ledgers are Created for Traceable Points Transfer

For traceable currencies, a transfer ledger is created for each credit ledger. If currencies don’t have tracing enabled, only one consolidated transfer ledger is created.

![Example](https://sf-zdocs-cdn-prod.zoominsoftware.com/tdta-xcloud-loyalty_management-264-0-0-production-enus/0590ce3e-5a09-45ab-8e5e-68f359c35886/images/icon_example.png)

Example

A Cloud Kicks Inner Circle program member purchases a product. The program creates an accrual transaction journal with four credit ledgers. Two of these ledgers, CL1 and CL3, are associated with a traceable currency, Bonus Points.

| Ledger ID | Type | TJ ID | Points | Loyalty Program Currency | Currency Subtype | Expiration |
| --- | --- | --- | --- | --- | --- | --- |
| CL1 | Credit | TJ1 | 15 | Bonus Points | Benefit Points | 1/1/2025 |
| CL2 | Credit | TJ1 | 10 | Premium Points | N/A | 1/1/2025 |
| CL3 | Credit | TJ1 | 10 | Bonus Points | Benefit Points | 1/1/2025 |
| CL4 | Credit | TJ1 | 20 | Premium Points | N/A | 1/1/2025 |

The member is part of a member group where the transfer contribution is 10%. Here’s how the ledgers are created when the Transfer Member Points to Groups action is run.

- For the two Bonus Points transactions, two corresponding transfer ledgers are created with the details of the points transferred.
- For the Premium Points transactions, a single consolidated transfer ledger is created.

| Ledger ID | Type | TJ ID | Points | Loyalty Program Currency | Currency Subtype | Expiration |
| --- | --- | --- | --- | --- | --- | --- |
| CL1 | Credit | TJ1 | 15 | Bonus Points | Benefit Points | 1/1/2025 |
| CL2 | Credit | TJ1 | 10 | Premium Points | N/A | 1/1/2025 |
| CL3 | Credit | TJ1 | 10 | Bonus Points | Benefit Points | 1/1/2025 |
| CL4 | Credit | TJ1 | 20 | Premium Points | N/A | 1/1/2025 |
| DL1 | Transfer | TJ1 | 1.5 | Bonus Points | N/A | N/A |
| DL2 | Transfer | TJ1 | 1.0 | Bonus Points | N/A | N/A |
| DL3 | Transfer | TJ1 | 3.0 | Premium Points | N/A | N/A |

Records for the debit ledgers of the traceable currencies are created in the Traceability Loyalty Ledger object. Records for DL1 and DL2 are created and mapped to the associated credit ledgers.

| Debit Ledger ID | Credit Ledger ID | Action Type | Points | Currency | Currency Subtype |
| --- | --- | --- | --- | --- | --- |
| DL1 | CL1 | Group Transfer | 1.5 | Bonus Points | Benefit Points |
| DL2 | CL1 | Group Transfer | 1.0 | Bonus Points | Benefit Points |
