Overview

The stock rotation process begins with the Salesforce Admin, who prepares the technical environment by enabling Stock Rotation and Context Service in Setup. The Admin assigns specific permission sets to Program Managers, Claim Analysts, and Partners to ensure appropriate access. To drive the automation logic, the Admin configures Data Processing Engine (DPE) templates and Business Rules Engine expression sets, which helps in identifying eligible inventory based on program validity windows.

Once the framework is established, the Stock Rotation Program Manager creates the Stock Rotation Incentive Rebate Program, defines eligibility for products and partners, and allocates the necessary budget. When the DPE runs and identifies eligible Partner Unsold Inventory (PUI), the system automatically generates Stock Rotation Execution (SRE) records. This creation triggers an automated Notification Flow that identifies authorized partner users and sends real-time email alerts. These notifications provide partners with a direct link to their eligible inventory as soon as a new rotation window opens.

The Partner Manager then logs into the Experience Cloud site to view invoices flagged as eligible. They select the items for rotation, choose the method (Return or Scrap), and move the status to Quantity Submitted. The Stock Rotation Program Manager or a designated reviewer evaluates the request against budget and program rules, moving approved items to Accepted and Partner Action Pending. This status signals the partner to either ship the physical goods or upload a Proof of Scrap document to the portal.

After the partner provides the required proof, the manufacturer moves the record to the Ready for Claim status. The Stock Rotation Claim Analyst performs a final payout simulation to ensure accuracy. Upon clicking Generate Claim, the system creates the formal Rebate Claim for credit issuance. For Scrap requests, the system simultaneously generates a Stock Rotation Debit Ledger. This ledger automatically reduces the partner's on-hand inventory balance in the system, ensuring the scrapped stock is accounted for and cannot be submitted for future rotation cycles.
