To create access labor cost permission sets: Labor Cost Optimization license
  1. From Setup, in the Quick Find box, enter Timesheets, and then select Advanced Timesheets Labor Cost Optimization Settings.
  2. Turn on Timesheets and Labor Cost Optimization.
  3. Set up the vehicle selection option for field technicians.
Choose whether technicians can associate a vehicle or vehicle model to their time in the mobile app.
  4. Enable the two-step submission process.
The two-step submission gives field technicians an opportunity to verify the automated calculations before submitting their timesheet to make sure that pay codes, shift differentials, and job expense types are applied accurately.
  5. Set Automatic Time Rounding.
If a technician starts their shift a few minutes late or ends their shift a few minutes early, you can automatically set the start time and end time of the shift to the working hours set in the data model, to ensure that it passes labor union compliance checks. Configure the thresholds to automatically adjust the start time and end time of timesheet entries to eliminate gaps at the start of the shift, end of the shift, and between consecutive timesheet entries.
    1. Enter the Start Time Rounding Threshold. For example, if you enter 15 minutes and the working hour start time is set to 9 AM, the technician's start time is rounded to 9 AM as long as they start their shift between 9:00 AM and 9:15 AM.
    2. Enter the End Time Rounding Threshold. For example, if you enter 15 minutes and the working hour end time is set to 5 PM, the technician's end time is rounded to 5 PM as long as they end their shift between 4:45 PM and 5:00 PM.
      Note
Note To deactivate automatic time rounding, enter 0 for both the Start Time Rounding Threshold and the End Time Rounding Threshold.
    3. Enter the Time Gap Threshold (Minutes). For example, if you enter 15 minutes and there's a 10-minute gap between entries, the gap is automatically closed by extending the latter entry.
    4. Select Create idle time entries instead of closing gaps to monitor transition periods or breaks. This setting ensures that any gaps identified within the set threshold result in a distinct idle time entry rather than being absorbed by the subsequent entry. For example, when a technician completes a service appointment at 10:30 AM and starts the next appointment at 11:00 AM (30-minute gap), the system creates a new 30-minute idle time entry to track the travel time separately.
