# Capture Orders Using Advanced Orders for Telesales

Advanced Orders for Telesales guides telesales reps through creating, configuring, pricing, and releasing high-volume customer orders. It bridges account-level commercial relationships with guided, compliant order execution.

Instead of manually searching through general product lists and keying in quantities line by line, telesales reps build orders from pre-configured Order Specifications. Order capture brings together context from the Customer Account, Internal Organization Unit (IOU), Product Catalog Qualifications, Store and Location Assortments, and Penny Perfect Pricing into a single guided screen:

- **Order Specifications (OrderSpec):** High-level rules that govern order behavior, valid order dates, allowed orderer types (Direct vs. Indirect), required wholesaler fulfillment accounts, delivery date/lead-time rules, and whether assortment-based product listings apply.
- **Order Product Specifications (OrderItemSpec):** Item-level rules that control inventory movement types (such as standard sale vs. return), item pricing groups, and quantity suggestion algorithms.
- **Assortments (StoreAssortment / LocationAssortment):** Pre-qualified product lists that enable reps to quickly select valid products based on customer account listings or physical warehouse stock points.
- **Flexible Units of Measure (ProductUnitOfMeasure):** Enables reps to capture quantities in cases, pallets, or individual scan units while automatically tracking conversion factors.

To capture an order:

1. Open the customer account in your ordering app, such as the Service Console for Telesales.
2. In the Action Launcher on the account record page, select **New Order**.

This initiates the guided order-creation flow and automatically prefills the details such as Account Name and Order Owner.
3. In the New Order window, select the Order Specification.

The Order Specification (OrderSpec) acts as the primary order template. Choosing a specification enforces business logic such as valid ordering date windows, whether the customer orders directly or indirectly, and whether a wholesaler account is required.
4. Set the **Order Type**, **Order Start Date**, and optional **Order Delivery Date**.

Setting the Order Type classifies the business transaction (such as a standard sale or return). Entering an Order Delivery Date triggers automated lead-time validations (MinLeadTime, MaxLeadTime, ShouldChkDeliveryDate) set on the order specification to ensure the requested delivery window can be fulfilled.

If prompted, select a Wholesaler or Broker Account (Fulfillment Account). For indirect ordering scenarios where Fulfillment Account Required is active on the order specification, selecting a wholesaler (FulfillmentAccountId) ensures the order is routed to the correct partner assigned in the account relationship table (AccountAccountRelation).
5. Select **Save**.

The order is created in Draft status, and the lifecycle bar updates to show the order's progression from Draft to Activated. On the Products tab, select the Assortments list view to review pre-qualified products.

If assortment filtering is enabled on the selected order specification, the Assortments list view displays pre-authorized product listings based on the customer's account hierarchy (StoreAssortment) or assigned warehouse stock point (LocationAssortment) to speed up product entry.
6. Switch to the All Products list view or view Product Information in the side panel.

To search the full catalog beyond pre-qualified listings, select the All Products list view on the Products tab.
7. To auto-fill item quantities, turn on **Apply Suggested Quantity** and confirm the prompt.

Enabling suggested quantities evaluates historical lookback rules (LookbackPeriodInDays) across past orders in Activated status, automatically prefilling recommended item quantities to accelerate order entry.
8. Set the Order Quantity and Unit of Measure for each product to include.

Entering quantities in specific units of measure such as cases or individual scan units (ProductUnitOfMeasure) ensures correct inventory tracking, aligns with market-specific packaging strategies, and drives bulk volume pricing conditions.
9. Select **Add to Cart** to add the selected products to the order.
10. To price the order, turn on **Instant Pricing** or select **Calculate**.

This invokes Penny Perfect Pricing engines to calculate net unit prices, tier/volume discounts, tax, and order summary totals based on the order's transaction context. The net unit prices and the order summary update with the calculated results.
11. Open the Cart tab and review the selected products, quantities, units of measure, and totals.
12. Review the order details and release the order.

Releasing the order shifts its lifecycle status from Draft to Activated, locking the record against unauthorized edits and queuing the order for ERP replication, fulfillment, and billing.

Note The order specification controls how delivery dates are validated through its lead-time settings. If you enter a delivery date outside the permitted window, an inline validation error message appears in the New Order window preventing order save until corrected.
