# Checklist to Run a Rebate Program

Review the high-level procedure to configure, create, and manage a standard rebate program. Use the predefined Rebate Orchestration flow to run an end-to-end rebate calculation process.

### Required Editions

<table class="slds-table slds-table_bordered slds-max-medium-table_stacked slds-m-bottom_small edition"><colgroup><col></colgroup><tbody><tr class=""><td class="slds-cell-wrap" style="vertical-align:top;">Available in: <strong>Enterprise</strong>, <strong>Unlimited</strong>, and <strong>Developer</strong> Editions that have Rebate Management enabled.</td></tr></tbody></table>

To ensure that you’ve successfully configured your org and set up a rebate program, complete the tasks specified in this checklist. We’ve only listed the minimum steps required to run payout calculations for a member in a standard rebate program. You can always customize and extend the application with data processing engine definitions, batch management jobs, flow actions, and custom objects and fields.

- [Create a rebate program](https://help.salesforce.com/s/articleView?id=xcloud.user_rebates_define_program.htm&release=264.0.0&type=5 "Create a rebate program to reward your partners when they attain specific sales targets. Enroll program members and create payout periods. Set up rebate types within a rebate program. Add benefits, additional benefit criteria, and eligibility rules for rebate types. Track transactions and aggregated payout data for members."), and then define the payout frequency.
- [Generate payout periods](https://help.salesforce.com/s/articleView?id=xcloud.user_rebates_create_payout_periods.htm&release=264.0.0&type=5 "You can manually create payout periods or automatically generate them for each rebate program. If you choose to automatically generate payout periods, they’re generated based on the program's frequency. Payouts are calculated during an active period and finalized at the end of each period. View the payout periods on the Payout Periods related list of a rebate program record.") for the program.
- [Enroll at least one member account](https://help.salesforce.com/s/articleView?id=xcloud.user_rebates_add_program_member.htm&release=264.0.0&type=5 "Add partners, dealers, and distributors as members to a rebate program. Add Account records to a program to enroll members. Add one account at a time, or use an existing Accounts list view to enroll multiple members. You can enroll an account in multiple rebate programs. View the enrolled members on the Members related list of a rebate program record.") in the rebate program.

Note Ensure that all enrolled members are in Active status. Payouts are not calculated for members in Draft or Inactive status.
- Identify the Data Processing Engine template that works best for your rebate type. Depending on your aggregation requirements, [choose the appropriate definition](https://help.salesforce.com/s/articleView?id=xcloud.admin_rebates_dpe_templates.htm&release=264.0.0&type=5 "Rebate Management has Data Processing Engine (DPE) templates to help you aggregate transactions by different criteria and manage other rebate processes. Examples of processes are: converting order records into transaction journal records, validating ship-and-debit transactions, and calculating payouts at the parent-account level.").
- To aggregate data for payout calculations, [clone the applicable Data Processing Engine definition](https://help.salesforce.com/s/articleView?id=xcloud.admin_rebates_clone_dpe_templates.htm&release=264.0.0&type=5 "Clone and use the data processing engine definitions for Rebate Management as-is, extend them to meet your business needs, or create definitions from scratch. To use a definition for a rebate type, activate the definition."). Activate the definition to use in a rebate type record.
- [Create a rebate type](https://help.salesforce.com/s/articleView?id=xcloud.user_rebates_create_rebate_types.htm&release=264.0.0&type=5 "Define rebate types to specify the incentive structure within a rebate program. A rebate program can include multiple rebate types, each representing a different strategy, such as volume, revenue, or growth. To configure a rebate type, create a Program Rebate Type record. Define the calculation logic, eligibility, benefit thresholds, and product associations to determine how rebates are calculated and paid out.") for the rebate program and specify the aggregation method, calculation method, measure type, and other fields. Select the cloned and active data processing engine definition as the calculation definition.
- [Add benefits](https://help.salesforce.com/s/articleView?id=xcloud.user_rebates_create_benefits.htm&release=264.0.0&type=5 "Add benefits to a rebate type to define qualifying ranges and benefit values for each range. View and edit benefits from the Benefits tab on a Rebate Type record.") to the rebate type by creating at least two benefit tiers.

    ![Note](https://sf-zdocs-cdn-prod.zoominsoftware.com/tdta-xcloud-channel_revenue_mgmt-264-0-0-production-enus/0afcbbd8-b325-4d62-baa1-63243d1c10aa/images/icon_note.png)

Note You must define at least one **Rebate Benefit** record for the Rebate Type. If benefit records are missing, the Rebate Orchestration Flow will complete, but no **Member Payout** records will be created.
- To include or exclude a member’s transactions based on specific rules, [define eligibility criteria](https://help.salesforce.com/s/articleView?id=xcloud.user_rebates_program_rebate_type_eligibility.htm&release=264.0.0&type=5 "Filter transaction journal records applicable for a rebate type by defining eligibility rules. Based on the eligibility criteria, a member’s transaction records are considered or discarded for payout calculations.") for the rebate type.
- [Populate records in the Transaction Journal](https://help.salesforce.com/s/articleView?id=xcloud.admin_rebates_populate_transaction_data.htm&release=264.0.0&type=5 "When partners purchase your products, the transactions are recorded as claims and invoices. These transactions are used as inputs for rebate payout calculations. Retrieve transaction data of your org from Salesforce objects such as Orders, from partners submitting claims via the Experience Cloud site, and from external systems.") for the member that you enrolled earlier. Ensure that the Activity Date value in the transaction records falls within the start and end dates of a payout period, as defined in the program.
- Clone and activate the Rebate Orchestration Flow template, and then run it for the rebate program that you created.
- [Track the progress of jobs](https://help.salesforce.com/s/articleView?id=ind.task_monitor_batches.htm&type=5&language=en_US) by using Monitor Workflow Services.
- After the flow run is successful, on the Payout tab of a Rebate Program Member record, [verify the calculated amounts](https://help.salesforce.com/s/articleView?id=xcloud.users_rebates_program_member_payout.htm&release=264.0.0&type=5 "After an admin configures the payout calculation schedule, payouts are calculated and created as Rebate Program Member Payout records. Rebate payouts are created in the Program Rebate Type Payout Source, Program Rebate Type Payout, and the Rebate Program Member Payout objects. Program managers can also view the payout details in the Member Payouts related list of Rebate Program Payout Period records.").
- For a deeper analysis of how payouts are calculated from transactions, in the Rebate Member Product Aggregate object, [view the aggregate values](https://help.salesforce.com/s/articleView?id=xcloud.admin_rebates_view_aggregated_payout_information.htm&release=264.0.0&type=5 "Payouts are calculated for each record in the aggregate object. The admin can either use the default Rebate Member Product Aggregate object to store aggregate records, or create a custom object for the purpose. The aggregate values get updated each time a Data Processing Engine is run to process the transactions as defined in a rebate type. Track the aggregate records to view the total transaction quantity, total transaction amount, and other details for each rebate type for a member in a specific payout period.").
