# Plan and Prepare Your Application

Prepare to create, accept, and manage applications in your institution. Identify the application stages and the Omnistudio components that are used for each stage, and understand the process of creating applications.

## Application Considerations

Identify the stages for your application and the Omnistudio components that are used for each stage.

Before you start to build your application in Education Cloud, it's important to think about the application experience that you want to create.

### Define the Purpose and Objective of the Application

Clearly define the purpose of your application. Is it for undergraduate or graduate admission? Is it a general application that works for your entire institution, or is it for a specific program or department?

### Identify the Format for the Application

Do you want a single-stage application that the applicant completes and submits all at once? Or, do you want to create a multi-stage application where each application stage can be completed at different times or through different means? For example, an applicant can complete the first stage today and submit a form by entering only their name and date of birth. A week later, they can come back to complete the second stage and enter their educational history. Applicants don't have to complete stages linearly.

### Categorize the Information To Collect

Outline the objectives of the application, such as showcasing the applicant's academic achievements, extracurricular activities, and personal qualities. Include all necessary fields for academic and personal information.

Here's an example of an outline that shows possible application stages and the data that each section collects.

| Application Stage | Collected Data |
| --- | --- |
| Profile | Contact information and demographic details of the applicant. |
| Family | Information about the applicant's parents, guardians, and siblings. |
| Test Results | Test result information for the applicant, including scores and test dates. |
| Secondary or High School Education | Secondary schools attended by the applicant. |
| College or University Education | Colleges or universities attended by the applicant. |
| Files | Documents required for the application, such as transcripts or a personal essay. |

### Create a Transfer Credit Stage

Add a Transfer Credit stage in your dynamic admissions applications to receive transfer credit evaluation requests. Applicants enter prior learning details and upload supporting documents in each application. When the applicant submits their information, the application automatically creates official transfer credit requests for a review. To create the Transfer Credit stage, [prepare your org](https://help.salesforce.com/s/articleView?id=sfdo.ec_set_up_org_for_transfer_credits.htm&release=264.0.0&type=5 "Configure Education Cloud so learners can submit transfer credit requests and transcripts, and staff can review and process them.") and [set up the applicant experience](https://help.salesforce.com/s/articleView?id=sfdo.ec_set_up_transfer_credits_for_applicants.htm&release=264.0.0&type=5 "Configure the TransferCreditWrapper Omniscript, add a Transfer Credit dynamic application stage, and set up Experience Cloud access so that applicants can submit transfer credit information.").

If the applicant has previously received unofficial transfer credit estimates from the [Transfer Credit Agent](https://help.salesforce.com/s/articleView?id=sfdo.ec_transfer_credit_agent.htm&language=en_US&type=5), they can reuse these to prefill their applications.

### Prefill Applicant Information in Applications

Education Cloud automatically prefills applicant information that you store in the Test Results, Secondary or High School Education, College or University Education, and Files stages. For example, test scores that an applicant entered in a previous application appear in the Test Results stage in the current application. In an ongoing application, the Omnistudio components automatically create individual application task item records to store the data that applicants provide.

Individual application task item records support applicants to specify which prefilled information they want to include for consideration in the current application. They can also edit or delete the data that they provide for the current application. These options give applicants control over the specific prefilled data that they want to present to reviewers.

## Omnistudio Components For Representing Application Stages

After you make some preliminary design, identify the Omnistudio components to represent your application.

Education Cloud provides Omniscripts and Flexcards that you can copy and use to collect and show applicant information. Use Omniscripts to collect the information from applicants and Flexcards to show the information for reviewers.

Important Clone the Education Cloud Omnistudio components that you want to use, even if you don't intend to customize them.

Here's an example of an application and an outline that shows the Omniscripts to be used for each stage.

| Application Stage | Applicant Omniscript | What information does it collect |
| --- | --- | --- |
| Profile | EDUAdmissions/ProfileWrapper | Collects and saves the applicant's profile information. |
| Family | EDUAdmissions/FamilySectionWrapper | Collects and saves the applicant's family information. |
| Testing | EDUAdmissions/NewTestResultSectionWrapper | Collects and saves the applicant's test results. |
| Secondary or High School Education | EDUAdmissions/NewSecondaryEducationSectionWrapper | Collects and saves the applicant's education information. |
| College or University Education | EDUAdmissions/CollegeSectionWrapper | Collects and saves the applicant's college information. |
| Files | EDUAdmissions/NewFileSectionWrapper | Collects and saves the applicant's files. |

For reviewers to assess the application in the CRM, use Flexcards to display the information collected from the applicant.

Here are the Education Cloud Flexcards that work for our example application.

| Application Stage | Reviewer Flexcard |
| --- | --- |
| Profile | EDUAdmissionsProfileSection |
| Family | EDUAdmissionsFamilySection |
| Testing | EDUAdmissionsTestResultsSection |
| Secondary or High School Education | EDUAdmissionsSecondaryEducationSection |
| College or University Education | EDUAdmissionsCollegeSection |
| Files | EDUAdmissionsFilesSection |

Education Cloud provides more Omnistudio components than the ones listed in the example. You can copy the components and customize them to meet your needs.
