# Understand the Data Model Requirements

The dashboards show data from various objects.

- Account with Academic Program and Educational Institution record types
- Address
- Application
- Contact
- Education History
- Term
- User

In addition, the model also uses geomarket codes from College Board.

The dashboards use a generic data model that can easily fit the needs of most institutions. If creating your own data model, here's how to structure the data.

Tip To view a visual representation of the data model in Tableau, click the **Data Source** tab.

## Application and User

To filter data in the dashboard by staff member or manager, you have User records structured using this parent-child relationship.

- User

    - User

Application records specify an Owner (OwnerId) field that points to an employee at your institution. In addition, each User record specifies another employee in the Manager (ManagerId) field.

Note The data model requires that employees, not applicants, own Application records.

Let’s look at how this model works for a recruiter named Cali Nguyen.

Application Record

| Application Name | Applicant | Applying To | Owner |
| --- | --- | --- | --- |
| APP-0123 | Marla Gianni | B.S. Computer Science | Cali Nguyen |

User Record

| Name | Title | Manager |
| --- | --- | --- |
| Cali Nguyen | Admissions Recruiter | Dimitri Trapalis |
| Dimitri Trapalis | Admissions Director | \-- |

## Application and Account (for Academic Programs)

To filter data in the dashboard by program, you have Account records structured using this parent-child relationship.

- Institution (record type is Educational Institution)

    - Department (record type is University Department)

        - Program (record type is Academic Program)

The program Account record is specified in the Applying To field on the Application record.

Let’s look at how this model works for a student named Marla Gianni.

Application Record

| Application Name | Applicant | Applying To | Application Status |
| --- | --- | --- | --- |
| APP-0123 | Marla Gianni | B.S. Computer Science | Incomplete |

Account Records

| Account Name | Account Record Type | Parent Account |
| --- | --- | --- |
| B.S. Computer Science | Academic Program | Department of Computer Science |
| Department of Computer Science | University Department | Connected University |
| Connected University | Educational Institution | \-- |

## Education History and Account (for Educational Institutions)

To filter data in the dashboard by High School District or High School, you have Account records structured using this parent-child relationship.

- District (record type is Educational Institution)

    - High School (record type is Educational Institution)

The high school's Account is specified in the Educational Institution Account (hed\_\_Account\_\_c) field of the Contact's related Education History record.

If you’re not using Accounts to identify school districts, you can still filter for high schools. Also, keep in mind that there's no qualifying logic to determine if the Account is for a high school. Therefore, college-related data can show up in the High School filter.

Let’s look at how this model works for a student named Marla Gianni.

Education History Record

| Education History Name | Contact | Educational Institution Account |
| --- | --- | --- |
| EH-1234 | Marla Gianni | Trailhead Academy High School |

Account Records

| Account Name | Account Record Type | Parent Account |
| --- | --- | --- |
| Trailhead Academy High School | Educational Institution | Village East School District |
| Village East School District | Educational Institution | \-- |
