Map dynamic asset statuses to static product item quantity fields. This process automatically tracks granular inventory counts without manual data entry. When a hardware asset undergoes a lifecycle change, the system updates state-based quantity fields on its related product item record. Check stockroom states in real-time to optimize sourcing pathways, prevent double-booking, and eliminate fulfillment delays.

How Mapping Works
The status-mapping framework evaluates an asset status and automatically rolls up calculated values to its associated product item. This rollup occurs when a serialized product asset links to an inventory location with an asset-based usage type.
A single asset status can map to multiple quantity fields simultaneously. For example, when an asset status updates to Reserved, the system increments both Quantity On Hand and Quantity Allocated.
Default Asset Status Mappings
These default mappings dictate which product item quantity fields update automatically when an asset record status changes.
| Asset Status | Status Category | Product Item Quantity Field(s) | Description |
|---|---|---|---|
| Available | In Stock | Quantity On Hand | Physically present in the stockroom and ready for deployment. |
| Reclaimed | In Stock | Quantity On Hand, Quantity On Hold | Returned to stockroom; held for operational evaluation. |
| Defective | In Stock | Quantity On Hand, Quantity Damaged | Physically present but unusable due to hardware failure or issue. |
| Reserved | In Stock | Quantity On Hand, Quantity Allocated | Soft-reserved or hard-reserved for an upcoming fulfillment order. |
| On Hold | In Stock | Quantity On Hand, Quantity On Hold | Present but restricted from active deployment. |
| Pending Disposal | Retired | Quantity On Hand, Quantity On Hold | Awaiting vendor pickup or physical destruction. |
| In Transit | In Transit | Quantity In Transit | En route between stockroom locations or dispatch channels. |
| Assigned | In Use | Quantity Allocated | Issued and active with an end user. |
| Ordered | In Stock | Quantity Ordered | Purchased from vendor; pending stockroom arrival. |
| Void | In Stock | Quantity On Hand | The reverted state applied when a disposal order or workflow is canceled. |
Unmapped Status Values and Exception Handling
If an asset transitions to an unmapped status, the rollup framework skips updating product item fields. Existing counts remain unchanged, and the system records an error in the Configuration Management Item Sync Log. Users who attempt to update assets without mapped categories or necessary access receive system validation notifications.
Customize Status Mappings
Extend, modify, or override default mappings to align inventory behavior with custom business workflows.
- Unified Setup Console: Go to Asset Status Mapping in Setup to configure status-to-category, quantity, lifecycle transition, and search filter rules.
- Inventory Quantity Mapping: Use the Inventory Quantity tab to link dynamic status picklist values to specific product item quantity fields. Select from Quantity On Hand, Quantity Allocated, Quantity Damaged, Quantity On Hold, or Quantity In Transit.
- Dynamic Picklist Alignment: Configure the mapping in Setup before creating asset records with the new status. This step prevents data sync issues when adding custom values to the Asset Status dynamic picklist.
Usage Considerations
- Dynamic Picklists: The Asset Status field is a dynamic picklist where you add custom values. Map new custom statuses via the Configuration Management Asset Status Qualifier to update quantity columns accurately.
- Deleted Values: Avoid deleting actively mapped Asset Status picklist values. Deleting an active status breaks the mapping framework and causes inventory inaccuracies.
- Location Requirements: Inventory rollups occur only for locations where the Usage Type is Asset based and IsInventoryLocation is selected.
- Status Reversion: When you cancel a workflow (such as a Disposal Order), the asset returns to its prior state. This process maintains the audit trail in the Asset Timeline.
- Asset Timeline Auditing: Quantitative rollups don’t show on the asset chronological timeline component. The timeline tracks status changes captured in Asset Activity records, while counts reside on the product item record.
