# Common Errors and Warnings in Backup & Recover for Microsoft Dynamics CRM and PowerApps

Check out common errors and warnings you might encounter while using Recover for Dynamics CRM and PowerApps. For each issue, we offer a clear explanation of the cause and actionable steps you can take to resolve it.

## Setting up a New Backup Service

## Error Message: Sorry, this MS Dynamics 365 Environment has already been taken.

Reason: New service could not be created. This Dynamics environment is already connected as a service to another active Own user account.

Solution: If you are unable to locate the owner of this Own account, or you think this message is in error, please contact our Customer Support team.

## Backup Errors

## Error Message: Warning! Some Tables/Entities could not be backed up.

Reason: API returns an error when trying to fetch this table. This might be a temporary issue from Microsoft.

Solution: Own will attempt to resolve the ability to backup these tables.

Consider excluding tables that are not needed from the scope of the backup.

## Error Message: Latest Backup failed / Re-authentication required

Reason 1: Permissions issue

Solution: Make sure that the Authenticated User or Application User is active and has the “System Administrator” security profile assigned to them in the environment you are backing up.

Reason 2: If you are using an Application User to authenticate the backup service, there might be an issue with the Application on the Entra side.

Solution: In MS Entra portal, make sure the Application is in place and the secret hasn’t expired.

If the secret has expired, create a new one. You will need to re-authenticate the Backup Service and update the Application details. See [Recover for Dynamics, Server to Server Authentication](https://help.salesforce.com/s/articleView?id=platform.br_o_microsoft_server_to_server.htm&release=264.0.0&type=5 "Server to Server Authentication (also known as Service Account or Application User) is the common way apps registered on Microsoft AppSource access the Dataverse data of their subscribers.")

Reason 3: The environment connected to this backup service was deleted.

Solution: Either Archive or permanently delete the service.

Own recommends Archive services. Archived services no longer back up, but you can still access the backed up data, which is useful for restore purposes.

1\. Select the backup service that encountered an error.

2\. In the Options menu, scroll to the bottom of the page.

3\. Select either:

- Delete This Service and Its Backups
- Archive This Service

The confirmation message is displayed. Click OK.

## Error Message: Failed downloading files

Reason: Corrupted files or empty files. This can happen because of plugins in the background extracting the files to external storage.

Solution: Use failed file report to review the list of failed files. Possible remove corrupted or empty files from your environment.

## Error Message: You have reached the API download limit for this service: (downloaded {} files out of {} files available).

Reason: Some of the files, such as email attachments or associated annotations, have not yet been downloaded to the backups. We will continue to download the files in the next backups, gradually reaching full coverage.

Solution 1: The default limit is set to 5,000 files per backup. You can increase the limit to 600,000 files, see [Managing API Consumption for Dynamics Backups](https://help.salesforce.com/s/articleView?id=platform.br_o_microsoft_api_consumption.htm&release=264.0.0&type=5 "Admins users can set limits for API consumption, for files and attachments downloaded via the REST API, in the Options menu.").

Solution 2: Check your API consumption in the Power Platform admin center: Go to Analytics|Dataverse analytics|API calls Statistics and review the maximum amount of calls your org is allowed in 24 hours.
