# Send Emails with a Flow Using Text Templates

Text templates create reusable email content with dynamic merge fields from any record. Send emails to any address and reuse the same template across multiple flow actions. This approach offers more flexibility than the standard Send Email body field.

Note You don't need to be an admin to have the Manage Flow permission. Ask your admin to add it to your profile or permission set.

Note If you want to send an email using the email body in the Send Email action, see [Send an Email from a Flow](https://help.salesforce.com/s/articleView?id=platform.automate_flow_build_send_email_from_a_flow.htm&release=264.0.0&type=5 "Compose your email's subject and body directly in the Send Email action element, without an email template. You can send to any email address and use merge fields from any object in your org.").

Important To send email from Salesforce, the Send Email action in Salesforce Flow requires domain-level and user-level email verification. Email delivery fails if either the user's email address or the email-sending domain is unverified. See [Requirements to Send Email from Salesforce](https://help.salesforce.com/s/articleView?id=xcloud.security_email_verification_requirements.htm&language=en_US&type=5).

- **[Send an Email Using a Text Template Flow Resource Example](https://help.salesforce.com/s/articleView?id=platform.automate_flow_build_send_email_example_text_template_resource.htm&release=264.0.0&type=5)**
Use the Send Email action to send an email to your customers each time the status of their order changes using a text template flow resource. For example, your sales reps don't have time to keep sending emails to customers to update them on their orders. You want to email the customers automatically with a flow.

## Create the Flow

Create the flow that sends your email.

1. Open the Flows list view.

    - From the Automation app, select the **Flows** tab.
    - From the **Flows** tab in any Lightning app, click the actions menu and select **Open Flow**.
    - From Setup, in the Quick Find box, enter Flows, and then select **Flows**.

Note that the Automation app and Flows tab options don't require Setup access.
2. Create the type of flow that you want to use.
    - From the Automation app, click **New**, then click the category, and then the flow type. For example, to create a record-triggered flow, click **Triggered** | **Record-Triggered Flow**.
    - From Setup, click **New Flow**, then click the category, and then the flow type. For example, to create a screen flow, click **Screens** | **Screen Flow**..
3. Configure the Start element if it's needed for the flow type.

## Create and Configure the Text Template

Create and configure the Text Template resource in your flow.

1. In your flow, click ![Open Toolbox icon](https://sf-zdocs-cdn-prod.zoominsoftware.com/tdta-platform-platform_automation-264-0-0-production-enus/60568438-ec7e-4665-acd1-7c80dcbe60d5/platform_automation/images/flow/automate_flow_build_open_toolbox.png).

    The flow Toolbox opens.
2. Click **New Resource**.
3. For Resource Type, click **Text Template**.
4. For API Name, enter a name for your text template. For example, EmailBody.
5. Enter your content into the Body text field and add any needed formatting.
6. To add merge fields, click **Insert a resource...** and search for and click the resource that holds the field you want to add. For example, click **Triggering Application** and then **Parent Name**.

## Configure the Send Email Action and Rest of Flow

Configure the Send Email action within your flow and finish setting up your flow.

1. In your flow, click ![Add element plus icon](https://sf-zdocs-cdn-prod.zoominsoftware.com/tdta-platform-platform_automation-264-0-0-production-enus/60568438-ec7e-4665-acd1-7c80dcbe60d5/platform_automation/images/flow/flow_builder_add_element_plus.png), and search for and click **Send Email**.
2. For Label, enter a name for your Send Email element. For example, Email Parent of Accepted Applicant. Let the API name autofill.
3. Configure the recipient information by entering a value or selecting a resource for Recipient Addresses or Recipient ID. For example, click **Triggering Applicant\_\_c** and then click **Parent Email**.

In this example, Applicant is a custom object.
4. Add your text template resource. Click **Compose Email Content**.
5. For Subject, enter a subject for your email, or select a text template that you created for your subject.
6. For Body, search for and click the name of your text template. For example, click **EmailBody**.
7. For the Rich-Text-Formatted Body value, click **True**.
8. Save and name the flow.
9. To make sure that the flow works as expected, debug and test it by using different scenarios.
10. To start sending emails, activate the flow.

Important After migrating flows, always review and reconfigure the Send Email action to reference the new record IDs in the target Salesforce org. This step prevents broken references and makes sure that email delivery functions correctly after migration.
