Note This content relates to Archive. For Salesforce Archive, see [Store Data Externally with Salesforce Archive](https://help.salesforce.com/s/articleView?id=xcloud.archive_overview.htm&type=5&language=en_US).

Each phase of this guide offers a smooth transition to an improved storage model. You can define your archive goals, set up user access, and create production policies.

## Define Business Use Cases

Lay the foundation by defining key business objectives that guide your archive policies.

- Plan for Success: Work with business teams to understand archiving goals and success metrics.
- Define Archiving Needs: Outline what records need [archiving](https://help.salesforce.com/s/articleView?id=platform.archive_o_get_started_with_archive_policies.htm&release=264.0.0&type=5 "Create automated jobs on a regular cadence to either archive data from Salesforce according to your needs, or purge from the Archive managed package for compliance or other requirements.") or [purging](https://help.salesforce.com/s/articleView?id=platform.archive_o_purge_policies.htm&release=264.0.0&type=5 "Meet data removal rules by setting purge policies in the Archive managed package that go over the original data expiration set when archiving. These policies permanently delete data.") using storage analysis.

Note Set up a Salesforce [Authenticated User](https://help.salesforce.com/s/articleView?id=platform.archive_o_auth_user_permission_requirements.htm&release=264.0.0&type=5 "Required setup and configuration for an Authenticated User in the Archive managed package.") with the necessary permissions.

Familiarize yourself with these key features:

- [Archive Dashboard](https://help.salesforce.com/s/articleView?id=platform.archive_o_archive_dashboard.htm&release=264.0.0&type=5 "The Archive managed package dashboard provides a comprehensive overview of your data, file storage capacity, and other essential metrics.")
- [Archive Storage Analyzer](https://help.salesforce.com/s/articleView?id=platform.archive_o_archive_storage_analyzer.htm&release=264.0.0&type=5 "Analyze data and file storage consumption in your org to identify archiving opportunities and create policies directly from the analysis workflow.")
- [Archive Settings](https://help.salesforce.com/s/articleView?id=platform.archive_o_archive_settings.htm&release=264.0.0&type=5 "Configure Archive Managed Package 24 Settings and later. You can access all settings outlined here from the Settings tab in the Archive Managed Package.")
- [Create Archive Policies](https://help.salesforce.com/s/articleView?id=platform.archive_o_create_policies_from_archive_package.htm&release=264.0.0&type=5 "Create an archive policy for objects that you want to archive.")

## Add a Service to the Archive Console (~2 hours)

Purpose: The Archive Console streamlines monitoring, supports multiple orgs, simplifies policy management, and enhances security with BYOK functionality for AWS and Azure.

- Access the Own Platform and log in to the [Archive Console](https://help.salesforce.com/s/articleView?id=platform.archive_o_view_the_archive_console.htm&release=264.0.0&type=5 "View multiple Archive instances and their statuses from one platform in Archive Console.").

Add a [new service](https://help.salesforce.com/s/articleView?id=platform.archive_o_view_the_archive_console.htm&release=264.0.0&type=5 "View multiple Archive instances and their statuses from one platform in Archive Console.") to the Archive Console.
- Leverage the Archive Console's features to:

    - [Monitor](https://help.salesforce.com/s/articleView?id=platform.archive_o_view_the_archive_console.htm&release=264.0.0&type=5 "View multiple Archive instances and their statuses from one platform in Archive Console.") activities across multiple Archive services.
    - [Create](https://help.salesforce.com/s/articleView?id=platform.archive_o_view_the_archive_console.htm&release=264.0.0&type=5 "View multiple Archive instances and their statuses from one platform in Archive Console."), edit, and [import](https://help.salesforce.com/s/articleView?id=platform.archive_o_view_the_archive_console.htm&release=264.0.0&type=5 "View multiple Archive instances and their statuses from one platform in Archive Console.") policies.
    - Secure your services using the [Bring Your Own Key (BYOK)](https://help.salesforce.com/s/articleView?id=platform.archive_o_view_the_archive_console.htm&release=264.0.0&type=5 "View multiple Archive instances and their statuses from one platform in Archive Console.") feature for [AWS](https://help.salesforce.com/s/articleView?id=platform.archive_o_view_the_archive_console.htm&release=264.0.0&type=5 "View multiple Archive instances and their statuses from one platform in Archive Console.") or [Azure](https://help.salesforce.com/s/articleView?id=platform.archive_o_view_the_archive_console.htm&release=264.0.0&type=5 "View multiple Archive instances and their statuses from one platform in Archive Console.").

## Create, Test, and Validate Policies (~1 week)

Purpose: Create and test archiving policies in the Sandbox to establish alignment with use cases and expectations.

- Policy Creation (~2 hours): Create Archive policies and [Multi-level](https://help.salesforce.com/s/articleView?id=platform.archive_o_view_the_archive_console.htm&release=264.0.0&type=5 "View multiple Archive instances and their statuses from one platform in Archive Console.") archiving from the Archive Console, archiving [ContentDocuments](https://help.salesforce.com/s/articleView?id=platform.archive_o_create_policies_from_archive_package.htm&release=264.0.0&type=5 "Create an archive policy for objects that you want to archive."), [EmailMessages with Related Tasks](https://help.salesforce.com/s/articleView?id=platform.archive_o_create_policies_from_archive_package.htm&release=264.0.0&type=5 "Create an archive policy for objects that you want to archive."), and more.
- [Field Level Security Validation](https://help.salesforce.com/s/articleView?id=platform.archive_o_archive_field_level_security_fls.htm&release=264.0.0&type=5 "Field-level security (FLS) settings in Salesforce are used to prevent access to specific fields in the Archive managed package."): After running the policy, confirm the Authenticated User's access to all necessary fields.
- [Unarchive Testing](https://help.salesforce.com/s/articleView?id=platform.archive_o_unarchive_from_archive_search_or_widget.htm&release=264.0.0&type=5 "Restore archived records with Archive Search or Archive Widget in the Archive managed package."): Now that we've tested archiving records, let's verify that we can Unarchive a test record.
- [Purge vs. Retention](https://help.salesforce.com/s/articleView?id=platform.archive_o_retention_vs_purge_policy_in_archive.htm&release=264.0.0&type=5 "Retention sets how long Archive keeps records. A purge policy deletes records before that period ends, such as for Right to Be Forgotten requests."): Review guidelines on when to use each policy type.

    ![Note](https://sf-zdocs-cdn-prod.zoominsoftware.com/tdta-platform-own_from_salesforce-264-0-0-production-enus/8ac98673-ede2-4046-a41e-2d5c846f24ff/images/icon_note.png)

Note Finalize validation before promoting policies to Production.

![Tip](https://sf-zdocs-cdn-prod.zoominsoftware.com/tdta-platform-own_from_salesforce-264-0-0-production-enus/8ac98673-ede2-4046-a41e-2d5c846f24ff/images/icon_tip.png)

Tip Test policies via increasing record size batches (10, 100, 1,000, 10,000 records). To verify that your policies are effective and accurate per your business use case, run test policies with progressively larger data batches.
