# Manage Archive Policies from the Archive Managed Package

To streamline your data archiving process, run, edit, clone, estimate, and preview archive policies from the Archive managed package.

Note This content relates to Archive. For Salesforce Archive, see [Store Data Externally with Salesforce Archive](https://help.salesforce.com/s/articleView?id=xcloud.archive_overview.htm&type=5&language=en_US).

Archive policies run automatically based on their scheduled time and frequency.

Run Now: To manually execute a policy, click Run Now. This option is only available for policies with Enabled status.

To ensure no conflicts arise from simultaneous runs of the same policy, maximum run times are configured as follows:

- Daily Policies - 23 hours
- Weekly Policies - 120 hours (5 days)
- Monthly Policies - 168 hours (7 days)

## Edit an Archive Policy

1. Click the **Policy Name** in the Policy Table.
2. Select **Edit**.

The Policy Name and sObject can't be modified after saving. Policies created or edited via the Archive Console can't be edited or drilled down from the Archive Package.

## Delete an Archive Policy

Delete an archive policy to stop future policy runs.

1. Go to the **Policies** tab and select the policy.
2. Click **Delete**.
3. Confirm the deletion.

Important

Delete an archive policy only to remove it from your policies view. After you delete a policy, you can’t change the retention period for records it already archived, and you must create a new policy to update their periods. To stop future archive runs without losing retention control, disable the policy instead.

## Clone an Archive Policy

Duplicate an existing policy for Archive, Purge, or out-of-the-box use cases. All fields except the Policy Name are copied.

1. Go to the Policy tab and select the desired policy.
2. Click **Clone**.
3. Enter a new name for the cloned policy and click **Save**.
4. The cloned policy appears in the Policy Table.

## Run an Archive Policy Estimate

The Estimate feature generates a list of records the policy archives during its next run and is available on a saved policy.

1. Go to the Policies tab and open the desired policy.
2. From the Policy Details form, select **Estimate**.
3. When clicked, a success message is displayed, and you're redirected to the Activities tab.

The table displays the results under the Primary Records and Total Records Attempted columns from the Activities table.

Primary Records are the total number of root records to be archived per policy. Total Records are the number of root and child records to be archived with the policy.

To view a summary of the Estimate results, click the dropdown arrow to access more options. Select Edit.

The Estimate window opens with a downloadable link under the Execution Details tab.

Important Estimates are limited to 2,000 root records.

## Preview an Archive Policy

The Preview feature runs the SOQL query defined in the policy and provides a sample of 10 records that match the criteria.

1. Open the Policy Details window and select the **Preview Table** tab.
2. Use the Preview Settings at the top of the page to customize the fields displayed in the Preview Table. Add, remove, or reorder fields as needed.
3. Click **Preview** to view the table with your selected fields.
4. Click **Save** to save the Preview settings.

Note Records protected by the Salesforce Data Protection Period setting are excluded from the preview.

The Preview feature offers limited support for PDF files. To view PDF content accurately, download the PDF file instead of using the Preview option.
