# Manage Index Fields in Archive

Efficient management of index fields in the Archive managed package is essential for optimizing search and query performance. The Index Fields Setup feature shows admins which fields are indexable so that they can manually select fields to improve search performance. While Archive automatically indexes certain fields based on internal algorithms, some fields can't be indexed at all, and you configure others manually.

Note This content relates to Archive. For Salesforce Archive, see [Store Data Externally with Salesforce Archive](https://help.salesforce.com/s/articleView?id=xcloud.archive_overview.htm&type=5&language=en_US).

This article outlines the auto-indexing logic in Archive, how to manually index fields, and important considerations for managing your indexing quota.

## Key Features of Index Fields Setup

View Non-Indexed Fields

- Identify fields that aren't currently indexed for each object.
- Understand which fields can be indexed and prioritize indexing accordingly.

Select Fields for Indexing

- Choose multiple fields from one or more objects in a single request.
- Make sure that the selected fields are critical for search and query performance.

Quota Management

- Archive automatically indexes up to 1,000 fields per org.
- After Archive indexes 1,000 fields, automatic indexing stops. To index more fields, manually select them in Index Fields Setup.
- Standard fields, such as `Id`, `CreatedDate`, and `RecordTypeId`, don't count toward this limit.

Queue Index Requests

- After selecting fields, submit a request to queue them for indexing.
- You can submit only one index request every 14 days, counted from the last successful index completion date per org.
- If an index request is already open, a new request can't be submitted until completion.

Track Progress and History

- Check the status of your submitted index requests.
- View the Number of Indexed Fields and Number of Indexable Fields Remaining to plan future requests.

## Auto-Indexed Fields

Since February 2024, Archive automatically indexes certain fields for newly onboarded customers based on frequently used field types.

Auto-Indexed Fields include:

- Standard Fields, such as `Id`, `CreatedDate`, or `LastModifiedDate`
- Custom Picklist and Multi-Picklist Fields
- Custom Reference Fields: Lookup and Master-Detail relationships
- Custom Date and Datetime Fields
- Custom Boolean Fields
- Custom Phone and Email Fields
- Certain Custom Text Fields: based on internal algorithms

## Indexing Quota and Manual Indexing

Note

Archive indexes these field types automatically, up to the 1,000-field limit per org. After you reach the limit, use Index Fields Setup to manually index other fields that matter for your searches.

For specific custom text fields or custom fields outside these categories, manual indexing must be requested through the Index Fields Setup feature.

## Excluded Fields

The following fields aren't available for indexing.

- `EmailMessage: 'HtmlBody', 'TextBody'`
- `Attachment: 'Body'`
- `ContentVersion: 'VersionData'`
- `QuoteDocument: 'Document'`
- `LiveChatTranscriptEvent`

View, select, and submit fields for indexing to optimize search and query performance within the Archive managed package.

## Manually Index Fields in Archive

View, select, and submit fields for indexing to optimize search and query performance within the Archive managed package.

1. View non-indexed fields.
    1. Go to the Index Fields Setup tab under Search in the Archive Settings.
    2. Select an object to see a list of fields that aren't indexed.
    3. Toggle to Show already-indexed fields.
2. Select fields for indexing.

    1. Choose the fields you want to index.
    2. Select multiple fields across multiple objects in one request.
    3. Ensure indexing is necessary, as once indexed, fields can't be unindexed.

    ![Note](https://sf-zdocs-cdn-prod.zoominsoftware.com/tdta-platform-own_from_salesforce-264-0-0-production-enus/8ac98673-ede2-4046-a41e-2d5c846f24ff/images/icon_note.png)

Note You must have at least one record of the selected object type archived for it to be available for indexing. While in view mode, already-indexed fields are grayed out and can't be edited.
3. Submit your request.

    1. Click **Submit All** after selecting your fields.
    2. The request is queued for processing.
    3. A confirmation message appears upon submission.

    ![Note](https://sf-zdocs-cdn-prod.zoominsoftware.com/tdta-platform-own_from_salesforce-264-0-0-production-enus/8ac98673-ede2-4046-a41e-2d5c846f24ff/images/icon_note.png)

Note You can only submit one request per 14 days, provided no other request is pending. We recommend grouping multiple fields into a single request to avoid the 14-day wait restriction.
4. Monitor your quota and request status.
5. Check the status of your last index request.
6. Review how many indexed fields remain in your org's Archive quota.

### Important Considerations

Plan Index Usage Wisely

- The 1,000-field quota for manually indexed fields is in addition to auto-indexed fields.
- Index only fields that are essential for search and performance-sensitive queries.
- Use batch submissions to maximize efficiency.

Irreversible Action

- Once a field is indexed, it can't be unindexed.
- Ensure that indexing is necessary for the selected fields.

Single Request at a Time

- Each org is allowed one index request every 14 days (if no request is pending).

90 Day Submission Limit

- The countdown begins from the last successful index request completion date.

Delays and Prioritization

- There may be a delay after submitting the request to the queue before the indexing process begins. Orgs in trial mode (POC) have their requests prioritized in a separate queue.

### Example Use Case

Your sales team often queries Opportunity records based on a custom field, Region, and a related Account Type field on the Account object. These fields aren't indexed by default, and query performance is lagging.

To address this:

1. Go to the Index Fields Setup in Settings.
2. Locate and select the Region field on the Opportunity object and the Account Type field on the Account object.
3. Submit the request.
4. These fields are indexed when the request is processed, improving query performance throughout the system.
