Essentials for Tour Drivers During Deliveries

If you are a tour driver and you are delivering goods for a tour on the Consumer Goods Cloud offline mobile app, remember these things.

Required Editions

Available in: Lightning Experience

Available in: Enterprise and Unlimited Editions where Consumer Goods Cloud is enabled

Visit Start and End

  • When you complete a visit, the app automatically syncs the tour data depending on the configurations set by your admin. See Delivery Execution Configurations.
  • An error message is shown when you try to end a visit with open documents.

Modify Product Quantities

Consider these checks while adjusting deliveries.

  • The Reason Type field on the Items tab is shown based on the Consider Modification Reason setting set by your admin in the order template.
  • The reason Type field for the order items can be mandatory, optional, or not required. This depends on the Modification Reason field setting in the order item template.
  • The recalculation behavior depends on the Recalculation Required setting configured by your admin. If your admin has set the Recalculation Required to Yes, Yes (with Notification), or Always Calculate, then the app forces you to recalculate the total quantities and value each time there’s a change in the product quantities, discount, or unit of measure.
  • The Release button is disabled until the price calculation is outdated, and the recalculation is done before releasing the document.
  • Rounding off ‌item quantities in deliveries isn’t possible.
  • To collect a partial amount, make sure your admin has set up your order template to collect partial amounts.
  • The Delivery Document is only editable if the related visit is editable and if the document isn't released yet. After a delivery document is released, it becomes read-only.

Add Products

Consider these checks while adding products to a delivery document.

  • You can only add products to a delivery document if the Add Allowed setting is enabled by admin for the item type selected in the document settings.
  • You can even add the same product for multiple item types.
  • The Consider Inventory filter in Search for Add Product depends on the Consider Inventory and Inventory Filter setting in the order template. Consider Inventory filter is shown only when your admin has set Consider Inventory as Yes and Inventory Filter as No in the order template.

Scan Products

Consider these checks while you scan products in a delivery document.

  • The app shows an error message if the scanned product isn’t part of a warehouse.
  • The app shows an error message if you scan a product with the unit of measure set in the scan settings that doesn’t have the order ability set to true in Unit of Measure on the desktop app.
  • The app shows an error message if you scan a product with a default or standard unit of measure that doesn’t have Is Order Unit and Order Ability set to true in Unit of Measure on the desktop app.
  • The app shows an error message if you scan an invalid product GTIN.
  • The app shows an error message if you scan a product that has Add Allowed set to false in the order template. This is applicable for the default unit of measure and for all relevant units of measure.

Invoice Generation

  • The paid amount and balance are visible only on a cash invoice.
  • The final invoice is stored as a PDF attachment to the order on the Consumer Goods Cloud desktop app.
  • The invoice number is available only in the final print.

Available Inventory (Stock) for Products

  • The Actual Inventory shows the number of products available in the inventory. Stock for each product is determined and shown depending on the inventory configurations.

Signature Capture

  • Signature for a document depends on the signature workflow configuration. You can skip adding a signature when there’s no signature workflow set up by your admin. For documents that have a signature workflow configuration, you can’t release a document without a signature.

Document Release

  • To release a document that has activated payment collection, the Total Value must be greater than 0. If the total value is 0 or negative, then Paid Amount for the document is set to 0, the Payment Collected? field is set to No, and you can’t release the document. This doesn’t hold good for documents where payment collection isn’t activated (for example, returns).
  • The app shows an error if there’s an overdraft in the inventory and Check Inventory Overdraft is selected as Yes during the delivery document set up by your admin. See Delivery Document Configurations.
