Update a Regulation Clause in Existing Regulation

Update an existing regulation clause by cloning and modifying the relevant regulation version and regulation clause versions. All associated mappings among the regulation version, regulation clause versions, controls, and business operations processes are preserved, enabling quick assessments to regulatory changes.

User Permissions Needed
To configure Process Compliance Navigator: Compliance Admin permission set
  1. Clone the regulation version record that’s mapped to the regulation clause version record of the specific regulation clause you want to update.
    1. From the App Launcher, find and select Regulation Versions.
    2. Open the regulation version record page and navigate to the quick actions menu.
    3. Click Clone.
    4. For the cloned regulation version, specify details such as changes summary and effective time period of the cloned regulation version.
    5. Save your changes.

      When you clone a regulation version record, all the associated mappings with regulation clause versions are retained in the cloned regulation version.

  2. Clone and map the regulation clause version for the regulation clause that you want to update.
    1. From the regulation version record page that you cloned, go to Regulation Version Regulation Clause Versions on the Related tab.
    2. Open the required regulation clause version record page, navigate to the quick actions menu, and click Clone.
    3. For the cloned regulation clause version, specify details such as changes summary and effective time period.
    4. Navigate to Regulation Version Regulation Clause Versions on the Related tab of the cloned regulation clause version record page, and click New.
    5. Select the regulation version that you cloned recently to map the regulation clause version with.
    6. Save your changes.

      When you clone a regulation clause version record, all the associated mappings of compliance policy clause versions, business operations processes, and control are preserved in the cloned regulation clause version record.

  3. Publish the regulation version that you cloned in step 1. When you publish the cloned regulation version, all associated regulation clause version records also get published. Learn about the scenarios and rules governing the Transition Criteria for Regulation Record Status.
    1. From the App Launcher, find and select Regulation Versions.
    2. Open the required regulation version record page and navigate to the Details tab.
    3. Update the status to Published.
    4. Save your changes.
  4. As the effective date for the cloned regulation version approaches, the compliance officer can activate it and retire the previous regulation version record.
    1. From the App Launcher, find and select Regulation Versions.
    2. Open the record page of the active regulation version that you want to retire.
    3. Go to the quick actions menu and click Retired.

      Retiring a regulation version doesn't automatically retire the associated regulation clause versions. You can use the regulation clause versions in upcoming regulation amendments if there are no changes.

    4. Save your changes.
    5. Open the record page of the cloned regulation version that you’ve just published.
    6. Go to the quick actions menu and click Activate.
    7. Save your changes.
