## Quotes and Orders

Quotes and orders are the source records for Billing. Billing uses the products, quantities, terms, and priced amounts in these records to create invoices. Changes to order details, such as quantity or term updates, are reflected in downstream billing records.

See [Create a Quote](https://help.salesforce.com/s/articleView?id=ind.qocal_create_quotes.htm&release=264.0.0&type=5 "Discover and price products for your customers by creating quotes directly in Revenue Cloud. These records help you organize product selections and apply pricing logic before finalizing a transaction."), [Create an Order from a Quote](https://help.salesforce.com/s/articleView?id=ind.qocal_create_orders_from_a_quote.htm&release=264.0.0&type=5 "Convert an accepted quote into an order with one click to synchronize product, quantity, pricing, and tax data. By using this process, the order record automatically inherits these details directly from the quote record."), and [Create an Order](https://help.salesforce.com/s/articleView?id=ind.qocal_create_orders.htm&release=264.0.0&type=5 "Skip the quotation and approval phases for straightforward transactions by generating an order record directly. This process enables you to manage sales that require immediate fulfillment without preliminary quote documentation.").

## Pricing

Pricing defines list prices and price adjustments for products on quotes and orders. Billing doesn't recalculate prices. It uses the order’s pricing to calculate the invoice amount.

Pricing determines the amounts. Billing determines when and how those amounts are invoiced.

See [Design Your Pricing Model](https://help.salesforce.com/s/articleView?id=ind.pricing_salesforce_pricing.htm&release=264.0.0&type=5 "Salesforce Pricing provides a unified platform for consistent, compliant, and accurate pricing for your products. Businesses can define standard prices for their products and apply discounts through price adjustments for a range of scenarios including volume discounts, subscription pricing, bundle pricing, and more.").

## Billing Treatments, Proration Policies, and Arrangements

Billing policies, treatments, and profiles determine whether a charge is billable and when, how, and to whom it is billed.

When a subscription starts, ends, or changes during a billing period, Billing prorates the charge to match the portion of the period that applies. Period boundaries and billing frequency determine when each period starts and ends.

Billing arrangements define which account receives the invoice and how the billable amount is allocated when one account owns the service and another is billed or when costs are split across multiple billing accounts.

See [Define Billing Policies and Billability Rules](https://help.salesforce.com/s/articleView?id=ind.billing_policies_and_treatments.htm&release=264.0.0&type=5 "Define billing policies, treatments, and treatment items to generate invoices that suit your sales models. Specify product billability rule criteria to define whether you want to bill your products in advance or in arrears, whether specific products are billed, and other conditions."), [Period Boundaries and Billing Day of Month](https://help.salesforce.com/s/articleView?id=ind.billing_understand_period_boundaries_and_billing_day_of_month.htm&release=264.0.0&type=5 "You can adjust when billing periods start and how charges are calculated by using flexible date settings that align with your business model and customer preferences. You can use the Period Boundary, Period Boundary Day, and Period Boundary Start Month fields on the order product, to define when billing begins, how billing periods are segmented, and how proration is applied. The period boundary on the order product ‌defines how the billing period is calculated. The Billing Day of the Month field on the Billing Schedule record specifies the day you expect to bill the customer. Together, these fields define how billing periods align with the transaction timeline and how Billing in Revenue Management calculates and groups charges on invoice lines."), [Manage Billing Arrangements](https://help.salesforce.com/s/articleView?id=ind.billing_billing_arrangements.htm&release=264.0.0&type=5 "Billing arrangements facilitate precise invoicing for business scenarios such as parent account billed for subsidiary accounts, cross-departmental charge allocations, or services or assets shared among multiple parties. Use billing arrangements to configure the allocation of billing amounts to a specific billing account or distribute costs among several billing accounts based on fixed percentages."), and [Create Billing Profiles](https://help.salesforce.com/s/articleView?id=ind.billing_billing_profiles_create.htm&release=264.0.0&type=5 "Cater to your customers' billing preferences and business needs by creating billing profiles for their accounts. Define multiple billing profiles for an account to manage diverse billing needs, each with its own billing details, payment terms, and contacts. Set a default billing profile for accounts to easily access your customers' preferred billing day of the month, billing address, billing contact, and other details. With billing profiles, sales representatives no longer need to enter this information for each transaction, saving time and effort.").

## Billing Schedules

Billing schedule groups and billing schedules represent how charges are organized over time for invoicing, including billing dates, frequencies, and billing status.

As orders change through amendments, renewals, and cancellations, the related billing schedules stay aligned to the order changes. See [Manage Billing Schedules and Billing Schedule Groups](https://help.salesforce.com/s/articleView?id=ind.billing_schedules_and_schedule_groups.htm&release=264.0.0&type=5 "Billing schedules define when and how an order product is invoiced. Billing schedule groups contain one or more billing schedules. Both of these are created and updated as a result of creating, amending, and canceling orders. You can generate billing schedules directly from transactions in external systems, or from any Salesforce object by using Create Standalone Billing Schedules API. To generate billing schedules from orders, use the Order to Billing Schedule flow, Create Billing Schedules for Orders API, or Create Standalone Billing Schedules API.").

For usage-based products, Billing invoices the amount based on actual product usage, not a fixed order quantity. Usage Management tracks consumption against grants and entitlements, applies rates to that usage, and produces invoice-ready summaries.

When an order is activated, Billing creates a billing schedule for each usage resource. A schedule remains open beyond its end date so that Billing can invoice late usage and overage.

See [Manage and Track Usage-Based Products](https://help.salesforce.com/s/articleView?id=ind.um_usage_management.htm&release=264.0.0&type=5 "With a consumption-based product, a customer pays based on usage rather than a fixed subscription or upfront fee. Usage Management provides a comprehensive solution to define, rate, sell, track, and bill consumption-based products."), [Manage Consumption for Usage-Based Products](https://help.salesforce.com/s/articleView?id=ind.um_consumption_management.htm&release=264.0.0&type=5 "Track and manage consumption data, rate consumption accurately, and generate invoice-ready summaries for billing. Consumption management provides standard flows that you can schedule to run. You can also create usage and ratable summaries as needed. The ad hoc summary generation helps account executives generate reports to forecast consumption of a resource or resolve customer disputes."), and [Billing Schedules and Invoices for Usage-Based Products](https://help.salesforce.com/s/articleView?id=ind.um_billing_schedules_for_usage_products.htm&release=264.0.0&type=5 "For usage-based products, Billing considers late usage and extra orders.").

## Taxes

Tax configuration defines how tax is calculated during invoicing. Tax is represented on invoice lines and contributes to final invoice amounts.

See [Define Tax Calculation for Invoices](https://help.salesforce.com/s/articleView?id=ind.billing_tax_configuration.htm&release=264.0.0&type=5 "Configure how taxes are calculated on the billing amounts of your taxable products or services, or import tax amounts calculated by an external system.").

## Invoices

Invoices represent billable charges for an account or order. They bring together billing dates, grouping rules, priced or consumption-based amounts, and tax results into customer-facing billing documents.

See [Generate Invoices](https://help.salesforce.com/s/articleView?id=ind.billing_invoice_generation.htm&release=264.0.0&type=5 "Schedule invoice runs to generate invoices from billing schedules or generate invoices directly from accounts or orders. Create standalone invoices or import invoices from an external system.").

## Credits and Debits

Credits and debits represent how invoice balances are adjusted. Credit memos and debit memos record balance adjustments associated with invoice changes.

See [Manage Credit Memos](https://help.salesforce.com/s/articleView?id=ind.billing_credit_memos.htm&release=264.0.0&type=5 "Create and apply credit memos to decrease the balance of invoices when the quantity or price of orders are amended.") and [Manage Debit Memos](https://help.salesforce.com/s/articleView?id=ind.billing_debit_memo.htm&release=264.0.0&type=5 "Create debit memos when you undercharge your customer or want to add additional charges. When debit memo lines are converted to invoice lines, the balance of the related invoices increases.").

## Payments and Collections

Payments and refunds represent cash movement that settles invoice balances.

See [Process Payments and Issue Refunds](https://help.salesforce.com/s/articleView?id=ind.billing_payments.htm&release=264.0.0&type=5 "Complete your cash journey by making payments for posted invoices and issuing refunds when needed. Settle open invoice balances in a timely manner and accurately report cash flow by collecting and applying payments. Refund your customers if they change or cancel products or services that they paid for.").

Collections and dispute management extend this post-invoice lifecycle by supporting follow-up actions on overdue balances and contested charges.

See [Collections](https://help.salesforce.com/s/articleView?id=ind.billing_collections.htm&release=264.0.0&type=5 "To recover overdue invoices, your collections reps use Collections workflow to track payments, record customer payment promises, and send personalized, automated dunning emails to minimize bad debt and maintain healthy cash flow.") and [Manage Disputes](https://help.salesforce.com/s/articleView?id=ind.billing_manage_disputes.htm&release=264.0.0&type=5 "Fragmented billing dispute processes often lead to payment delays and poor customer experience. By using the dispute management feature, you can streamline the intake and resolution process for common billing requests and disputes. Install prebuilt service process templates by using Unified Catalog. Your billing specialists and customer service representatives can initiate cases directly from the Account record page, and quickly capture, validate, and resolve common inquiries, all from a single catalog. Billing portal users can raise service requests through the self-service Billing portal.").

## Accounting

Billing captures the full financial lifecycle, including invoice and payment activity, credit and demo memos, refunds, and realized and unrealized foreign exchange gains and losses. It prepares this data for general ledger integration as journal entries, general ledger account summaries, and foreign exchange gain and loss summaries. See [Manage Financial Accounting](https://help.salesforce.com/s/articleView?id=ind.billing_financial_accounting.htm&release=264.0.0&type=5 "Streamline the financial accounting process for your organization with accounting periods for legal entities, chart of accounts, journal entries for your billing transactions, and by capturing transaction amounts in corporate currency.").

Billing supports milestone billing, usage-based billing, sequential invoice numbering, suspending and resuming billing, collections, invoice write-offs, dispute management, account statements, and operational views such as Billing Settlements Central and the Billing Operations Console.

Billing supports agentic and self-service experiences that help customers review invoices, pay balances, raise service requests, and get conversational explanations of charges. Together, these capabilities support the complete quote-to-cash flow.
