# Auditing Tills and Managing Canceled Cash Transactions in Point of Sale

Check cash amounts in register tills for changes within a day and do audits, avoiding the need for end-of-day till reconciliation.

Prerequisites:

- Modern POS App Build: 9.10.1 or greater
- Platform Support: iPad, iPhone
- Offline Support: Yes, however, audits performed offline are reported to the Electronic Journal after being back online.

Point of Sale supports loss prevention by tracking canceled cash transactions. It records if a cash drawer is opened during a sale that is later voided and the cart emptied. Additionally, we also facilitate cash auditing of tills, as part of [till management](https://help.salesforce.com/s/articleView?id=commerce.rt_pos_inventory_till_mgmt.htm&release=264.0.0&type=5 "Use the Point of Sale (POS) app to manage tills in-store and reconcile all tills at the same time."). By setting up a deep link and a manager's approval policy, users can start cash audits at any time during the day.

To use the cash auditing feature, configure an approval policy, reason codes, and deep links. Note that for managing canceled transactions, no additional configurations are required beyond verifying support for cash tenders. For more information, refer to this [article](https://help.salesforce.com/s/articleView?id=commerce.rt_pos_checkout_transaction_sale_xml.htm&release=264.0.0&type=5 "Point of Sale's POS app streamlines the checkout process, enabling flexible and efficient sales transactions. Associates can accept various payment methods, including single and multitender options, ensuring a seamless and quick customer experience. Configure available tender types in CMS before running transactions.").

## Set Up Mnager Approval Policy

Set up cash auditing to require manager approval.

1. In CMS, go to **Store Management > Associates > Approval Policies Configuration**.
2. Select **Create**.
3. Turn on **Approval Required**.
4. Under **Policy Feature**, select "**Cash Audit**".
5. Under **Approving Roles**, select roles that can approve the policy. ![The Create Associate Approval Policy window in Point of Sale CMS.](https://sf-zdocs-cdn-prod.zoominsoftware.com/tdta-commerce-retail-264-0-0-production-enus/17d647fb-8988-49fb-9add-c4f4cc79c9e4/retail/images/rt_pos_operations_till_approval_policy.png)

## Configure Reason Codes

Configure reason codes if there's a cash variance.

1. Go to **Store Management > Reason Codes**.
2. Select **Cash Register Variance Reasons**.
3. Create reason codes by referring to this [article](https://help.salesforce.com/s/articleView?id=commerce.rt_cms_settings_reason_codes.htm&release=264.0.0&type=5 "Configure reason codes in Point of Sale (POS) to track the reasons behind actions, such as discounts or inventory adjustments.").![The Cash Register Variance Reasons section of Reason Codes in Point of Sale CMS.](https://sf-zdocs-cdn-prod.zoominsoftware.com/tdta-commerce-retail-264-0-0-production-enus/17d647fb-8988-49fb-9add-c4f4cc79c9e4/retail/images/rt_pos_operations_reason_codes.png)

## Configure Deep Link

Configure reason codes to initiate cash auditing.

1. Edit a layout or a hamburger menu.
2. Access the deep link picker.
3. Go to **Cash Register > Current Cash Drawer > Cash audit of till**.
4. Save your changes. ![The Cash audit of a till deep link selected in the Deep Link section of Point of Sale CMS.](https://sf-zdocs-cdn-prod.zoominsoftware.com/tdta-commerce-retail-264-0-0-production-enus/17d647fb-8988-49fb-9add-c4f4cc79c9e4/retail/images/rt_pos_operations_audit_till_deep_link.png)

## Audit a Cash Till in the POS App

Manage till audits and view transaction variances in the Point of Sale (POS) app.

On the POS app, select the **Cash Audit deep link**. If a manager approval policy is in place, the app requires the entry of manager credentials to begin the audit. If a manager is logged in, this prompt won't appear. Any active cart shall be completed or voided before proceeding with the audit.

The user is prompted to open the till to count the cash. After counting, enter the total in the **Actual in Drawer** field. Optionally, use the calculator icon to input amounts as rolls or counts of change and bills, which automatically calculates the total. After the count is complete, tap **Complete Audit**.

If the counted amount differs from the expected till total, a window appears showing the variance amount and prompting the user to select a reason code for the discrepancy. Tap **Accept Variance** to proceed.

Cash audits are documented in the [Electronic Journal](https://help.salesforce.com/s/articleView?id=commerce.rt_cms_reports_electronic_journal_overview.htm&release=264.0.0&type=5 "Customize filters for transaction research and record store transactions in Retail Cloud.") and listed under the Transaction Type "Cash Audit". Any variances are also recorded, including the amount, reason codes, and the till ID.

### Canceled Cash Transactions

On the POS app, if checking out a customer and a cash transaction is canceled, it'll be recorded in the [Electronic Journal](https://help.salesforce.com/s/articleView?id=commerce.rt_cms_reports_electronic_journal_overview.htm&release=264.0.0&type=5 "Customize filters for transaction research and record store transactions in Retail Cloud.") as "Cash Transaction Cancelled." The record includes details such as the store ID, register ID, date and time, transaction number, and the associate handling the transaction. Additionally, the cash amount specified is listed under the **Notes** and **Cash** columns.
