Configure Employee Discounts in Point of Sale

POS lets employees enter their information to receive purchase discounts. To apply discounts, create a Customer rule that checks for an employee when you create a promotion. You can also configure employee validation using an SPI to validate employee information before applying promotions.

  • Modern POS App Build: 8.0.1 or greater. 9.3.1 or greater for validation
  • Platform Support: iPhone & iPad
  • Offline Support: No

To apply an employee discount to one or more products or an entire transaction, add a Customer rule that checks for an Employee while creating a promotion. See Create Product Promotions in Point of Sale CMS.

Configure the employee discount deep link under Employee Discounts in Cart Options.

To configure a manager's approval for Employee Discount sales, see Store Associate Approval Policies.

Point of Sale supports employee validation using an SPI. After inputting employee information into the app, a request is sent to the endpoint with the input data. If the information is valid, the promotions are applied. If not, an error message is displayed to the store associate, and the promotions aren’t applied.

  1. In CMS, go to Integrations | Customer Connectors.
  2. To configure the SPI, select Create.
  3. Under Connector Type, select "SPI".
  4. Under Endpoint Name, select "VERIFY_EMPLOYEE - Verify Employee".
  5. Under API Endpoint, enter the URL endpoint of the SPI.
  6. Under Integration Type, enter "HTTP_POST".
  7. Under JSON Headers, enter "{"contentType": "application/json"}".
  8. Save your changes.

Employee Discount Behavior in POS

Employee discounts in Retal Cloud POS can be applied by tapping the Employee Discount Deep Link during a sale, which opens a window to input employee information. If configured, the Employee Discount Validation SPI validates the employee's information and applies the appropriate discount to the transaction. If you return or exchange something, the original employee information is shown but you can't change it. The cart must apply the discount again and revalidate the employee if needed.

Sales

Add a product to the cart and apply an employee discount by tapping on the Employee Discount Deep Link. The Employee Info window displays allowing you to input the employee's information. Note that this window isn’t a configurable layout. After all the information is entered and you tap Continue, the user is aked to confirm or edit the information.

Validation

If the Employee Discount Validation SPI is configured after tapping "Apply," the employee's information is validated. If successfully validated, the app automatically applies the appropriate discount(s) to the transaction. However, if ‌validation through the SPI fails, the app indicates the failure and prompts the user to edit the information before proceeding with the transaction.

Note
Note Starting with app version 10.3.1, the Employee Discount Validation SPI now includes support for promotionID.

Returns and Exchanges

When returning or exchanging one or more items from a transaction with an employee discount, the employee information that was added to the original order ise visible from the Employee Discount cart option. However, it’s not editable during returns or exchanges.

Note
Note If validating with an SPI, for returned items with an employee discount, the cart must reapply the discount and revalidate the employee, if required, for the new sale.

Receipts

Employee information (for example employee ID, email, and so on) can be configured to show on printed receipts. This is a list of tags related to employee discounts. See Configure Receipts.

Reporting

Orders with employee discounts are recorded in the Electronic Journal as "EMPLOYEE SALE".

Known Issues & Restrictions

  • Employee discounts are considered customer discounts, which are not supported in Offline Mode.
  • When adding new sale products to a return/exchange, those products get an employee discount added even if the person ‌returns the items and buys new items. It's best to place a separate order if the sale items can't get the employee discount.

Frequently Asked Questions

Common questions answers
Can there be more than one employee customer type? Not while using the employee promotion rail. However, you can have multiple employee customer types by using customer groups promotions instead. The downside of this approach is that these promotions won't be tracked as employee sales in the Electronic Journal and other reports. See Apply Customer Groups to Promotions.
Can multiple promotions be set up for employees, such as discounts on different products? Yes, multiple promotions can be set up for employees. The Customer Type (is Employee) parameter is available for any promotion type as noted in this article. These promotions follow standard rules for combinability and product eligibility.
Is there a way to validate store employees against CMS employees and apply promotions based on roles? No, currently, Point of Sale only supports employee validation through SPI to discourage the bulk loading of all corporate employees into the system.
For external validation, what's the required response? External validation is true if any of the employee fields are filled in (first name, last name, email, or employeeID) and there's no error message. If there's an error message, error code, or an empty response, the employee's validation fails.
Can an employee be linked as a customer to apply employee sales? You can connect employees to customers in the CRM. You can also use the rules for Customer Groups and Customer Type when you give promotions to employees. This setup allows for more granular promotion application and employee sale tracking, although individual testing is recommended for confirmation.
Can I customize the layout and fields for employee verification on the POS app? Currently, there's no configurable layout available for employee verification on the POS app. The fields displayed to the associate during the verification process are statically defined, and all fields are required.
