CMS - Configuration and Setup

Access the promotions page in CMS by going to CMS | Promotions. Promotions appear under four tabs:

  • Live: The Active flag is on and the current date falls between the start and end dates for the promotion.
  • Upcoming: The Active flag is on and the start date of the promotion is in the future.
  • Inactive: The Active flag is off regardless of its start and end dates.
  • Expired: The current date is past the end date of the promotions regardless of whether the Active flag is on or off. Expiration takes precedence over inactive. In other words, if a promotion is both expired and inactive, it's listed under the Expired tab.

You can’t share a promotion coupon code between a Live promotion and an Upcoming promotion, as this practice causes conflicts and prevents promotions from functioning correctly. For example, the code "STUDENT10" can be active in a Live promotion until December 31, 2023, but you can’t assign the code to an Upcoming promotion starting January 1, 2024.

Creating Promotions

There are two ways of creating promotions in the CMS, manual and upload. For detailed instructions on how to create promotions manually in the CMS, refer to Create Product Promotions in Point of Sale CMS. To upload your promotions, refer to the Promotions Upload Overview.

Note
Note The system sets promotion start and end dates in UTC by default. The system doesn't currently support timezone-specific promotions.

For examples of how to create common promotions, see Common Promotion Examples in Point of Sale CMS.

You can configure a webhook that sends real-time event notifications when you create, update, or delete a promotion. For specifications and configuration details, see the Promotion Events Webhook in the Point of Sale developer documentation.

Promotion Features in Point of Sale CMS

Stack promotions, prioritize them, and confirm the best price for customers.

Promotion Stackability

Stack promotions in the order that you want them executed. Alternatively, change promotion application priority by dragging and dropping promotions into the order that you want them applied.

Promotion Priority and Combination Rules

If a promotion is higher in priority, the system applies that promotion’s ruleset over other promotions. See the example:

  • You create Promotion A as a Percent Off promotion and set the promotion to be combinable with other Percent Off promotions.
  • You create Promotion B as a Percent Off promotion and set the promotion not to combine with any other promotions.
  • If you move Promotion A higher in the priority order than Promotion B, Promotion A can combine with Promotion B in an order.
Tip
Tip Move noncombinable promotions higher in the priority order to prevent other promotions from combining with them.

Max Discount

Has Max Discount Per Promotion is a configurable field for Percentage Off and BOGO (Percent Off) promotions. When this field is enabled, you can set the max discount for a promotion.

In this example, "Buy 3 chairs get a footstool for 50% off - up to $100 savings":

  • Buying three chairs and a $100 footstool saves the customer $50.
  • Buying three chairs and a $200 footstool saves the customer $100.
  • Buying three chairs and a $250 footstool saves the customer $100. Even though the footstool is $125 with 50% off, the max discount is $100.

Best Price Wins

Point of Sale compares several promotions in a cart and applies the promotion that saves the most money in the transaction. The ordering of the promotions and products doesn't affect Best Price Wins. Point of Sale supports this feature in both online and offline modes.

To configure Best Price Wins:

  • Go to Store Management | Store Settings | Promotions.
  • Turn on Apply Promotion with Logic of Best Price Wins. By default, it's turned off.

For example, a cart with items totaling $600 has two promotions: promotion #1 (get 15% off) and promotion #2 (spend $500 and get $100 off). The system applies Promotion #2 because the promotion offers the greatest discount ($100 vs. $90). This example saves the customer an extra $10.

Promotion #1

  • Get 15% off
  • Discount: $90.00
  • Total: $510

Promotion #2 (Best price)

  • Spend $500.00, get $100 off
  • Discount: $100.00
  • Total: $500

Best Price Wins & Stackability

Point of Sale's promotion engine prioritizes the best price among nonstackable promotions. Consider the promotions for a cart of three dresses totaling $200:

  • Promotions: P1, P2, P3, P4, P5, P6, P7
  • Promotion groups: P1, (P2, P3, P4), (P5, P6), P7 *

* Promotions within a set of parentheses are stackable.

Promotion Group one (Nonstackable)

  • P1: 25% off on all items in the cart
  • Discount = $50

Promotion Group two (Stackable)

  • P2: $20 off on orders over $100
  • P3: No-cost shipping on orders over $150 (shipping cost on this order is $13.00)
  • P4: Buy three, get a pair of socks free Discount = $20

Promotion Group three (Stackable)

  • P5: Buy one get 50% off on jeans (typical cost of jeans is $60)
  • P6: Buy two, get a free T-shirt
  • Discount = 0$

Promotion Group four (Nonstackable)

  • P7: $30 off on orders over $200.
  • Discount = $30

The Point of Sale promotion engine evaluates the cart against all promotion groups, determining the best discount for each group.

Promotion groups one, two, and four are all applicable to the cart's total of $200. Group three isn't applicable and offers no discount. The Point of Sale promotion engine selects P1 as the final promotion for this cart because group one provides the best discount ($50).

For stackable promotions (for example, group two and group three), the system applies this order:

  • No-cost Sample (BOGO with a fixed amount of $0) - highest priority
  • BOGO Fixed Amount
  • X for Y (as a type of BOGO Fixed Amount)
  • BOGO Amount Off
  • BOGO Percentage Off
  • Fixed Amount
  • Amount Off
  • Percentage Off
  • No-cost Shipping - lowest priority

BOGO Discount Applied to Lowest Price Item

By default, POS applies the discount to the first qualifying item added to the cart. To ensure accurate pricing during returns and exchanges, configure BOGO discounts to apply to the lowest-priced qualifying item in the cart.

To turn on this setting:

  1. Go to Store Management | Store Settings | Promotion.
  2. Turn on Apply BOGO Discount to Lowest Price Item.

This flag isn't compatible with Best Price Wins for any BOGO promotion type. When you turn on this flag, BOGO discounts always apply to the lowest price item in the cart. Best Price Wins still applies the greatest discount across all other promotion types (amount off and percentage off).

Exchange Price Match

When customers exchange items, they typically pay the current price for the replacement item. With Exchange Price Match enabled, customers can match the promotional price from the original purchase, even when the promotion is no longer active.

For example, a customer buys shoes for $80 during a promotion. Later, they exchange the shoes for a different size. Without Exchange Price Match, they pay the current price of $100. With Exchange Price Match enabled, they pay the original promotional price of $80.

To turn on this setting:

  1. Go to Store Management | Store Settings | Promotion.
  2. Turn on Exchange Price Match.

When enabled, Point of Sale matches the promotional price from the original transaction during exchanges. The system applies this setting to all exchange transactions.

Download Promotions

Export a CSV file of all promotions (inactive and active). Select Download CSV in the upper right corner of the Promotion page in CMS. This file includes all related details of each promotion, including discount type, percent or amount off, and promotion rules.

Offline Promotions

For information on the support and capabilities of promotions during offline mode, read Offline Promotions.

Known Promotion Issues and Restrictions

Understand limitations and unexpected behaviors with promotions in Point of Sale to avoid potential issues.

For offline promotions, if a product is removed from the cart and there's a manual promotion by entering a coupon code. If it doesn't match any products in the cart, then it'll be removed automatically. However, if the product is added to the cart again, then the coupon code also has to be manually added as well.

Warning
Warning Warning messages won't be displayed in other cases on the cart screen in online mode. For example, if there was a coupon code added to the cart and if the applicable product is removed, decrease the quantity of the product and if the coupon code isn't valid, and so on

Switching between network modes (online to offline and vice versa) will remove all applied promotions from the cart. Manually reapply any promotions after the network mode switch. Auto promotions are auto applied for eligible products.

Promotions in both the "Live" and "Upcoming" states can't share the same promotion coupon code, as this leads to conflicts and prevents promotions from functioning correctly. For instance, the code "STUDENT10" can be active until December 31, 2023, but it cannot simultaneously be scheduled for an upcoming promotion starting on January 1, 2024.

Frequently Asked Questions (FAQs)

Get answers to common questions about using promotions in Point of Sale CMS.

Is stackability logic operating at the cart level or line item level?

Stackability logic operates at the cart level.

How is the discount calculated if my cart contains these promotions?

Cart: Three full-price items

Promotions:

  • "10% off, applies to all items in the cart (stackable and higher in the promo ranking than the 20%)"
  • "20% off, applies to all items in the cart (not stackable but lower than the 10% promo in the promo ranking)"

If the best price promo is active, the system evaluates the promotions' groupings and applies the best deal. The order of promotions matters only in cases of a tie or within a set of stackable promotions. You can either turn off the best price promo or accept this as the expected result.

Can I use a coupon code that can only be used once and save 50% on an item?

The system will find the best deal: 50% off the original price of the item or the current sale price.

Important
Important This feature isn't supported directly. A workaround is to apply a 50% item discount at the cart level.
