# Perform Cycle Count as an Associate

As an associate, you can create and use batches to perform cycle counts for store inventory in Point of Sale CMS.

## Batches

Batches serve as temporary workspaces during the cycle count process. Items scanned into batches are associated with the associate who opened it. The items and quantities scanned in batches are accumulated and added to the overall cycle count.

## Scanning Items

You can scan items using either the device's camera or a paired external scanner. Each scanned item adds a quantity of one to the item count.

## Items Not in Pick List

You can count items excluded from the cycle count if the flag **Merchant Has Enabled Positive CycleCount Inventory (isPositiveCycleCountInventoryEnabled**) is enabled. This setting can be enabled in CMS by going to **Store Management > Store Settings > System** and expanding **Rollout**. This setting prevents items with a “0” or negative inventory from being included, reducing both the cycle count size and the time needed for creation.

Important If **Merchant Has Enabled Positive CycleCount Inventory** is already enabled, disable **Enforce In-Store Product Filter** and clear the cache before you create a cycle count. To clear the cache, go to **Search Config** in CMS, and click **Save**. This step allows you to add items that aren’t part of the cycle count batch.

- **Full Cycle Count**: If isPositiveCycleCountInventoryEnabled is turned on and an item is scanned and not part of the cycle count, the system checks if the item is in the product file. If it is, the item will be added to the batch.
- **Partial Cycle Count**: If isPositiveCycleCountInventoryEnabled is turned on and an item is scanned and not in the cycle count, the system checks if the item is in the product file. If it is, the item is added to the batch.
- **Manual Cycle Count**: All selected items are included in the cycle count, regardless of inventory status.

If a scanned item isn't found in the product file, or it doesn't meet the partial count criteria, an error message appears: "Product 123 not found". Tap **OK** to proceed with the cycle count.

For manual search, products must have a GTIN (Global Trade Item Number) field populated to be added to cycle count batches. If you encounter "Product not found" errors during manual search, see [Frequently Asked Cycle Count Questions](https://help.salesforce.com/s/articleView?id=commerce.rt_cms_modules_learn_about_cycle_counts_in_retail_cloud.htm&release=264.0.0&type=5 "Understand the distinctions among each Cycle Count type to best suit your retail environment.") for troubleshooting steps. For more information about product identifier requirements, see [Learn about Cycle Counts in Point of Sale](https://help.salesforce.com/s/articleView?id=commerce.rt_cms_modules_learn_about_cycle_counts_in_retail_cloud.htm&release=264.0.0&type=5 "Understand the distinctions among each Cycle Count type to best suit your retail environment.").

## Batch Management

Items are automatically added to the batch, but the items aren’t included in the cycle count until the batch is closed. Pausing the batch prevents the addition of new items to the cycle count, though they are saved in the batch.

Managers can't search for added items until **Complete Cycle Count** is selected. After the cycle count is complete, the manager can review the newly added items in the **Unmatched** and **Matched** tabs.

After the batch is closed, newly added items are visible in the **Unmatched** tab and are included in the variances. The expected counts for these items are based on the On Hand inventory in the store's product file, even if the count is negative or zero. The counts update the store's product file after the cycle count is finalized.

## Editing Batches

Associates can edit batches with a manager approval override. In Edit mode, an associate can adjust the counted quantity of a nonserialized item and delete any serialized items.

## Reason Codes

For manual cycle counts, items added via CMS or the app are included as long as they exist in the product file, regardless of their inventory status.

Items added from full and partial cycle counts have the reason code "MANUAL\_ADDED\_ITEM" in the event file, while manual cycle count items added through the app or CMS won't include this reason code.
