Use these guidelines and search effectively across Salesforce.
Get specific when you search
Not all fields on a record are searchable.
- To limit the number of results, enter specific search terms. For example, enter the full name and company (Mike Jones Salesforce) or last name and ZIP code (Jones 94123). When possible, make your search terms unique, and specify the type of object to search for.
- Searching for a specific contact or opportunity? Get more targeted results by adding the account name to your phrase. For example, John Smith Acme or 200 Widgets Acme. Adding the account name also works for record suggestions in Lightning Experience instant results.
- Check your spelling and make sure that you enter the complete search term.
Give your records unique names when possible
You’re more likely to see all matching search results without reaching result limits.
Wait for record updates
- If you recently created or updated a record, wait a few minutes for the record to be made searchable. If you can’t find the record after 15 minutes, contact your admin.
- If a record is created or updated using bulk API, it may take more than 15 minutes for the record to be searchable. If you can't find such a record, wait for a few hours before contacting your admin.
- If you think the record isn’t appearing because of permission issues, check with your admin. Search shows you only the records that you have access to.
- A record doesn’t show in the search results until it’s in the index. Wait a few minutes for new text to be indexed and become searchable. If a record still isn’t searchable after 15 minutes, an indexing delay can be the issue.
Create list views
Create a list view for a specific set of contacts, documents, or other records that you search for repeatedly. List views are a great way to sort, prioritize, and analyze the records that are most important to you. A list view doesn’t limit the number of records. It can search for multiple records by a specific parameter such as a list of accounts in your state, or opportunities above a particular amount.
List view filters are different from search result filters.
