- When you can’t find a record in lookup search results, verify that the search term is correct or try entering a more specific search term. If your admin has enabled enhanced lookups, you can filter or sort results. Admins also define which fields appear as columns in the search layout for refining results.
- When you enter a value in the lookup text box and save the record without clicking the lookup icon, Salesforce performs a standard lookup search. If an exact match is found, the value is saved to the lookup field, even if other partial matches are found. If an exact match isn’t found but one or more partial matches are, you must select a value from a dropdown list of matches. If no results match the text that you entered, an error displays.
- To search for contacts, leads, users, or other individuals that include spaces in the First Name or Last Name fields, enter quotes around the terms. For example, to search for someone with the last name von hausen, enter “von hausen".
- In orgs that have the Salesforce Customer Portal or partner portal enabled, you can filter the results that appear on the user lookup dialog. Filter by selecting either a queue or group of users from the Owner or Assigned To dropdown list.
- If a custom object has search disabled, you can still perform a lookup search for the record. The lookup search matches only on the record name.
- If your org uses divisions and you have the Affected by Divisions permission, your lookup dialog search results include records in the division that you select in the lookup dialog window.
- Customer and partner portal users don’t see recent items for user records.
-
When you perform a blank lookup, a list of recently used records displays. For standard lookups, records are listed in alphabetical order by the primary record name field. For enhanced lookups, records are ordered according to when you last viewed them. The number of records vary for some object types. Here are some examples of common blank lookup scenarios for standard lookups.
- Products—Dialog displays 50 records.
- Campaigns—Dialog displays 100 active campaigns.
- Assets—Dialog displays all assets tied to the contact on the case.
- Users—If an admin selects Use Recently Viewed User Records for Blank and Auto-Complete Lookups on the Search Settings page, the user’s 200 most-recent records are returned and sorted in alphabetical order by first and last name. If this setting isn’t selected, the 200 most-recent records from across the org are returned and sorted in alphabetical order by first and last name. It also stops populating records when the 200 record limit is reached, due to search crowding.
If you don’t see the desired record in the list of recently used records, perform a full lookup search. You get the best results with more specific search terms.
